Legal Assistant – Real Estate & Corporate Commercial Law
Location: Oakville, Ontario (On-site)
Job Type: Part-time, with opportunity to grow into full-time as the firm expands
Salary range: $18.00/hour to $20.00/hour

We are a small, established law firm practicing real estate and corporate commercial law. We pride ourselves on providing responsive, high-quality service to our clients while maintaining a supportive, team-oriented office environment. We are currently seeking an organized and detail-oriented Legal Assistant to join us on a part-time basis, with the strong potential to grow into a full-time position as our firm continues to expand.
About the Role
Reporting to the firm's lawyers, the Legal Assistant will provide administrative and transactional support across our real estate and corporate/commercial files, from file opening through to closing. This part-time role is ideal for someone looking to build their experience with a small firm, with a clear path to full-time hours.
Key Responsibilities
File & Client Management (Required)
- Open new files, complete conflict checks, and manage client intake
- Maintain and organize physical and electronic client files in accordance with firm and Law Society standards
- Track key dates, deadlines, and requisition periods
Real Estate / Conveyancing (Preferred)
- Prepare and process residential and/or commercial purchase, sale, and mortgage/refinance files from opening to closing
- Conduct title searches and off-title searches
- Prepare closing documents, statements of adjustments, and reporting letters
Corporate Commercial (Required)
- Conduct corporate searches
- Draft and assemble closing documents for corporate/commercial transactions
Billing & Bookkeeping (Required)
- Enter and track billable time and disbursements
- Prepare invoices and assist with trust and general account bookkeeping
- Support month-end billing procedures
General Administrative Support (Required)
- Draft, format, and proofread correspondence and legal documents
- Answer phones, manage calendars, and coordinate meetings/closings
- Other duties as required to support the lawyers and firm operations
Required Skills & Software Proficiency
- Law firm management software (e.g., CosmoLex, Clio or similar)
- Microsoft Word
- Microsoft Excel
- Adobe Acrobat
Preferred (not mandatory):
- Conveyancing software (e.g., Unity, Conveyancer, LCS, Closer, Teraview) — file opening, data entry, title searches, and preparation of closing documents. Training will be provided for the right candidate.
Qualifications
- 1–2 years of experience as a legal assistant in real estate and/or corporate commercial law (required)
- Strong understanding of real estate transactions and corporate/commercial legal terminology
- Excellent organizational skills with high attention to detail
- Strong written and verbal communication skills
- Ability to manage competing deadlines and prioritize effectively in a fast-paced environment
- Professional, discreet, and able to handle confidential information
