We are seeking an organized, proactive Event Coordinator for a 6-month part-time contract to support our marketing team during a busy exhibition season.
Your Role
Reporting to the Marketing Department, this role focuses on the administrative execution, logistical coordination, and delivery of our events (exhibition booths), as well as supporting promotional requests from our global partner network.
Key Responsibilites
Trade Show & Exhibition Booth Support:
Planning & Execution: Participate in exhibition booth planning and ensure timely follow-up on show timelines, deliverables, and ordering deadlines.
Vendor & Venue Liaison: Help manage communications with external exhibition vendors, decorators, and venue organizers.
Logistics & Equipment Tracking: Coordinate the inventory, preparation, packing, and shipping of robotic equipment and booth materials.
On-Site Preparation: Assist the marketing team with logistical preparation to ensure an impeccable brand presence during setup.
Partner Network & Promotional Support:
Asset Coordination: Act as the internal point of contact to provide partners with digital marketing assets and promotional materials.
Kit Distribution & Compliance: Organize and distribute partner kits, ensuring all shipments accurately reflect Mecademic brand guidelines.
Collaborative Support: Assist partners with administrative or documentation needs related to their standalone or collaborative promotional events.
Your Profile
Ideally, a successful first experience in event coordination, marketing assistance, office administration, or a related coordination role.
Strong communication skills in both French and English (written and spoken).
Robust organizational skills with sharp attention to detail, a team player mindset, and the ability to work effectively under tight deadlines.
Proficiency or familiarity with project management platforms (such as Asana or Jira) is an asset.
Job Conditions
Part-time position (2 to 3 days per week) for a 6-month duration, to be filled as soon as possible at our office located at 1300 St-Patrick St, Montreal, QC.
Compensation based on profile and experience.
Must be legally authorized to work in Canada (citizenship, permanent residency, or a valid work permit).
