The Law Society of BC is seeking a permanent, full-time Coordinator in our Policy department. The Coordinator, Policy & Planning is responsible for coordinating strategic planning, implementation, monitoring and reporting processes for the Policy & Planning department, with a primary focus on supporting the Director in the successful implementation and ongoing coordination of the Law Society’s strategic plan and related strategic initiatives. The position performs intermediate administrative and project coordination work requiring tact, diplomacy, sound judgment, strong organizational ability and the ability to work with a variety of internal and external stakeholders. The position also retains selected committee, meeting and administrative support functions for the department, including support for Benchers, committees, task forces, working groups and other ad hoc groups as required.
The duties of this position include:
- Assisting with document management to support strategic planning and reporting processes for the department, maintaining workplans, project trackers, performance measures, milestone schedules and related documentation. Assisting with executing on actionable items from strategic workplan, including supporting measurable actions, timelines, deliverables and progress updates, and coordinating follow-up with departments and business leads to gather information and keep work on track.
- Tracking the progress of strategic initiatives as instructed by the Director, identifying issues, risks, gaps, outstanding items or areas requiring adjustment, and communicating practical options or recommendations to the Director.
- Coordinating cross-departmental input for strategic initiatives, including scheduling meetings and touchpoints, tracking action items, monitoring deadlines and ensuring timely follow-up to support smooth departmental and organizational operations.
- Assisting with the preparation, coordination, formatting and quality control of strategic planning and reporting materials, including reports, dashboards, presentations, briefing materials, templates and correspondence for the Executive Director/Chief Executive Officer, Executive Committee, Benchers, committees, task forces and senior leadership.
- Maintaining bring-forward systems, calendars, records and documentation to ensure deadlines are monitored and met, and that appropriate materials are provided in a timely manner.
- Providing committee and meeting support for Benchers, committees, task forces, working groups and other ad hoc groups as requested, including initiating agenda creation, coordinating materials, scheduling logistics, attending meetings to take notes as necessary, preparing minutes as necessary, and diarizing recommendations, decisions, deadlines and action items.
- Communicating and following up with committee members, staff and other stakeholders on meeting dates, deadlines, deliverables and requests for information.
- Arranging, or assisting in arranging workshops, forums, planning sessions and other special events related to the work of the department.
- Managing selected scheduling and administrative support for the Director and department, including booking meetings and appointments, arranging travel where required, processing payments, creating and maintaining files, and maintaining departmental filing and records systems.
- Ensuring effective communication between the department and all internal and external parties, and exercising tact, diplomacy and discretion when dealing with a broad range of audiences and sensitive information.
- Providing back-up administrative support to the department as required.
- Such other duties as may be assigned by the Director, Policy & Strategic Initiatives.
Qualifications
- A diploma preferably in public administration, business administration, public policy, legal administration or a related field.
- Three years of recent relevant experience or an equivalent combination of education and experience in a coordinator or related support role, preferably in a regulatory, public sector, professional or non-profit environment.
- Strong organizational, analytical, communication and problem-solving skills, with the ability to manage competing priorities, exercise tact, discretion and confidentiality, and produce clear, accurate work in a fast-paced environment.
- Proficiency in Microsoft Word, Excel and Outlook is required.
- Experience supporting committees, task forces or governance bodies, and experience in a legal, regulatory, policy or strategic planning environments are assets.
The salary range for this position is $71,093 to $77,275.
