As a Project Coordinator, you will support Project Managers in the delivery of complex simulation and training solutions, including helicopter rear-crew training devices and other advanced training systems. Working with multidisciplinary teams, you will coordinate project activities, maintain accurate project financial information, and support planning, reporting, and project controls. This role is well suited to an organized, analytical, and detail-oriented individual who enjoys working on technically complex projects and helping teams deliver successfully.
Key Responsibilities:
- Support Project Managers with the day-to-day coordination and administration of assigned projects, as directed by the Project Manager, to help ensure project activities, deliverables, schedules, and budgets remain on track.
- Coordinate project activities, resources, meetings, communications, documentation, client deliverables, and other project logistics across internal and external stakeholders, as directed by Project Managers.
- Assist Project Managers in maintaining project plans, schedules, resource allocations, budgets, expenditures, forecasts, Estimate at Completion (EAC) information, and percent-complete data within NetSuite and other applicable project systems.
- Monitor and compile project cost, schedule, resource, and performance information; prepare project status reports, forecasts, month-end information, and other project reporting for review by Project Managers and management.
- Support project procurement and financial administration activities, including purchase order coordination, supplier invoice review, cost allocation, invoice tracking, and resolution of discrepancies.
- Prepare and maintain project documentation and contractual deliverables, including project plans, status reports, risk registers, meeting records, CDRLs, and other project records.
- Perform other project coordination, reporting, and administrative activities as directed by Project Managers to support successful project delivery.
Qualifications
- Minimum three (3) years of experience in project coordination, project administration, project controls, financial administration, PMO support, or a similar project-based role.
- Diploma or bachelor's degree in Business Administration, Finance, Project Management, Accounting, or a related discipline; equivalent experience will also be considered.
- Project Management Professional (PMP) and/or Certified Associate in Project Management (CAPM) certification would be considered an asset.
- Demonstrated experience supporting multiple projects in a project-based, matrixed, or PMO environment.
- Strong analytical skills and demonstrated experience working with project budgets, forecasts, expenditures, schedules, and performance information.
- Experience preparing or supporting project forecasts, month-end reporting, project performance reporting, or similar management information.
- Strong Microsoft Excel skills and confidence working with detailed project and financial data.
- Experience with ERP or project management systems such as NetSuite, or equivalent systems, would be considered an asset.
- Experience with Microsoft Project or similar project scheduling software would be considered an asset.
- Experience with Jira, Confluence, Power BI, or other project reporting and production-management tools would be considered an asset.
- Knowledge of project forecasting, earned value management, project controls, or Estimate at Completion methodologies would be considered an asset.
- Excellent organizational skills, with the ability to manage competing priorities across multiple projects.
- Strong attention to detail and a demonstrated commitment to data accuracy.
- Excellent verbal and written communication skills.
- Demonstrated ability to work collaboratively with Project Managers, Finance, functional teams, and other cross-functional stakeholders.
- Experience working within Aerospace & Defence or with Canadian military programs would be considered an asset.
- Must be eligible to obtain and maintain Government of Canada Security Clearance.
