The Picton Business Improvement Association (BIA) is seeking an enthusiastic, organized, and community-minded Operations & Community Coordinator to help deliver the programs, events, partnerships, and initiatives that contribute to the continued success of downtown Picton.
This is an exciting opportunity to play a key role in one of Ontario's most vibrant main streets while working closely with local businesses.
About the Picton Business Improvement Association
The Picton Business Improvement Association (BIA) represents businesses and commercial property owners within Ward 1 – Picton, Prince Edward County. Established under the Municipal Act, the BIA works collaboratively with its members and the Municipality of Prince Edward County to promote economic vitality, enhance the downtown experience, support local businesses, and foster a vibrant destination for residents and visitors alike.
Through marketing initiatives, advocacy, streetscape & beautification projects, events, and strategic partnerships, the Picton BIA strengthens the local economy and enhances the vitality of downtown Picton. We are committed to fostering a downtown that is welcoming, inclusive, and accessible, where businesses, residents, employees, and visitors of all backgrounds, identities, and abilities feel they belong.
Position Overview
Reporting to the Board of Management, the Operations & Community Coordinator is responsible for coordinating the day-to-day operations of the Picton BIA and serves as the primary contact for members, partners, and stakeholders. The Coordinator implements Board-approved priorities, supports the delivery of programs and events, coordinates communications, secures grant funding, and helps advance initiatives that strengthen downtown Picton.
This is an in-office position requiring a regular presence in downtown Picton. The successful candidate will possess a strong knowledge of Picton (Ward 1), its business community, and Prince Edward County, along with a genuine passion for supporting local business and community development.
Key ResponsibilitiesOperations & Administration
- Coordinate the day-to-day operations of the BIA office.
- Implement Board-approved priorities, policies, and annual work plans.
- In coordination with the Chair prepare agendas, reports, meeting packages, and minutes for the Board of Management and committees.
- Maintain organizational records, policies, procedures, and operational files.
- Coordinate communications between the Board, committees, members, and external stakeholders.
- Support implementation of Board decisions and strategic initiatives.
- Ensure compliance with applicable legislation, municipal requirements, and organizational policies.
Member & Community Relations
- Serve as the primary point of contact for BIA members and stakeholders.
- Build and maintain positive working relationships with businesses, commercial property owners, municipal staff, community organizations, tourism partners, and volunteers.
- Respond to member inquiries professionally and in a timely manner.
- Represent the Picton BIA at meetings, networking opportunities, and community and County events.
- Foster member engagement and encourage collaboration within the downtown business community.
Events & Programming
- Coordinate the planning and delivery of BIA events, promotions, and seasonal programming.
- Coordinate vendors, sponsors, performers, volunteers, and community partners.
- Manage event logistics, permits, timelines, and on-site operations.
- Provide hands-on support during events, including occasional early mornings, evenings, and weekends.
- Evaluate events and prepare post-event reports and recommendations.
Marketing & Communications
- Coordinate marketing initiatives that promote downtown Picton.
- Manage the BIA website, newsletters, and other communications.
- Supervision of social media platforms
- Collaborate with local businesses, media partners, photographers, designers, and service providers to showcase downtown Picton.
Grants & Funding
- Research grant, sponsorship and funding opportunities.
- Prepare competitive grant applications and funding proposals.
- Coordinate funded projects and ensure compliance with reporting requirements and funding agreements.
Financial & Administrative Support
- Assist with budget implementation and expense tracking.
- Process invoices and financial documentation in collaboration with the Treasurer and designated financial service providers.
- Prepare administrative and financial reports as required.
What You'll Bring
The ideal candidate will demonstrate:
- Post-secondary education in business administration, communications, marketing, public administration, economic development, event management, or a related discipline, or an equivalent combination of education and experience.
- Experience in operations, project coordination, nonprofit administration, municipal government, tourism, economic development, or a related field.
- Demonstrated success in grant writing and grant administration.
- Exceptional interpersonal and relationship-building skills.
- Outstanding organizational and time management abilities with the ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- Strong attention to detail, sound judgment, and problem-solving abilities.
- The ability to work independently while collaborating effectively with a volunteer Board of Management.
- Proficiency with Microsoft 365 and digital communication platforms.
- Experience managing websites and social media platforms is considered an asset.
- A valid Ontario driver's licence and reliable transportation are considered assets.
