Legal Assistant
Our client, a boutique litigation firm specializing in estate, trust, and capacity law is looking to add a Legal Assistant to their team.
About the Position
Our client is looking for a legal assistant with 3+ years experience in estate litigation or civil litigation. The successful candidate will play an integral role in the ability to deliver high quality and cost-effective advocacy for clients by:
- Taking ownership and responsibility for the quality and timeliness of work commitments;
- Adhering to firm protocols, and professional standards and regulations;
- Using sound judgment when managing conflicting demands; and
- Exercising discretion when dealing with sensitive and confidential matters.
Key Responsibilities include but are not limited to:
- Prepare pleadings, motion records, factums, affidavits of service and correspondence according to instructions and/or precedent (including drafting, editing, proofing, formatting and hyperlinking);
- Arrange for the serving and filing of legal documents with courts and other legal agents;
- Schedule consultations, meetings and hearings with clients, courts and other legal agents;
- Proactively maintain a bring forward tickler system to manage deliverables and court filings;
- Accurately and appropriately e-file all client-related material; and if appropriate update and maintain physical file;
- Editing dockets and preparing invoices per lawyer instructions and firm protocol;
- Respond to clients, colleagues and other legal agent inquires in a timely and courteous manner; keep lawyer(s) apprised of interactions;
- Demonstrate a team approach by assisting colleagues during peak periods and covering absences; and
- Exercise discretion and good judgment when dealing with confidential and sensitive matters.
Requirements
- 3+ years experience working as a Legal Assistant in Estate or Civil Litigation;
- Advanced command of Microsoft Office/Outlook, Zoom and PDF editing software;
- Experience with Ontario Courts Public Portal “OCPP” and Justice Services Online “JSO”
- Experience with Actionstep/Soluno would be an asset;
- Strong attention to detail and excellent grammar skills;
- Strong foundational understanding of the rules and procedures associated with the courts;
- Ability to prioritize and manage conflicting demands; and
Ability and desire to work effectively and collaboratively with others to reach common goal
