Position Description
Bayview is hiring a Project Coordinator on a 12-month fixed-term contract to support a portfolio of hotel renovation projects rolling out across downtown Toronto, Mississauga and Oakville. This is a coverage contract for a team member on leave — and a genuine opportunity for someone early in their career to gain hands-on, end-to-end renovation experience across multiple live projects, working directly with an experienced project management team.
The Project Coordinator supports the Project Managers in delivering multiple renovation projects on time and on budget. The candidate should be capable of systematically approaching problems, independently researching potential solutions, and presenting the team with the issue along with multiple proposed resolutions. This position reports to two Project Managers.
Contract Details
- Term: 12-month fixed-term contract
- Salary: $60,000 per annum
- Probationary period: 3 months
- Target start date: September 2026 at the latest; earlier preferred
- Location: GTA-based, with regular site visits across downtown Toronto, Mississauga and Oakville; mileage reimbursed at CRA rates
Roles and Responsibilities
During the planning stage of our projects, the Project Coordinator is expected to fulfil the following responsibilities:
- Break projects down into feasible actions and time frames
- Complete the tender process from start to finish:
◦ Prepare quantity take-offs
◦ Send out RFQs and prepare quotation matrices
◦ Negotiate prices, payment terms, warranties, delivery terms, etc.
◦ Track vendors and follow up as needed
◦ Check references and past projects
◦ Conduct site tours of factories as needed
◦ Provide a recommendation using both quantitative and qualitative reasoning
- Assist in budget preparation; track and update budgets
- Prepare purchase orders and contract documents
- Research new vendors, design and construction solutions
- Be informed of drawings, plans, addenda, specifications, contracts, and schedules from the planning stages
- Define storage constraints and solutions
- Gather all project information
During project execution, key responsibilities include but are not limited to:
- Prepare and update the project schedule and hold trades accountable to their deadlines; liaise with Hotel General Managers and work around compression dates as needed to avoid revenue displacement; distribute schedule updates to the operational team and contractors frequently
- Coordinate use of elevator service and loading dock space amongst trades to mitigate bottlenecks
- Coordinate with contractors and sub-contractors to ensure work is completed as specified and on schedule; prepare and follow up on deficiency reports
- Keep a record of packing slips and bills of lading, and compare against products delivered and invoiced
- Monitor project progress and handle coordination issues as they arise
- Review invoices and submit for approval
- Act as a point of contact and communicate project status to all participants
- Maintain document control, database management, project activity tracking and team communication
- Assist the project team in strategic meetings, and follow up with meeting notes and actions
- Develop and review project status reports
- Create a lessons-learned document to capture learnings from each project
- Become familiar with applicable Ontario Building Code requirements and hotel Brand Standards
- Other projects as assigned
Requirements
- Post-secondary education (College or University) with a specialty in Construction, Engineering, Architecture, or Project Management
- Valid Ontario G license with access to a reliable vehicle — the role requires regular site visits across downtown Toronto, Mississauga and Oakville
- Strong Microsoft Excel proficiency — candidates will complete a practical skills assessment as part of the interview process
- Strong client-facing and teamwork skills
- Hands-on experience with project management tools
- Strong communication skills, both written and verbal
- Excellent attention to detail
- Energetic and able to work in a fast-paced environment
