The Lifesaving Society Alberta and Northwest Territories is a charitable organization dedicated to preventing drowning and water-related injury through education, training, certification, and public awareness. The opportunity
The Programs Coordinator provides cross-portfolio program coordination and administrative support for the Lifesaving Society’s Programs Team. This role leads the day-to-day coordination of Learn-to-Swim and other non-vocational program activities while supporting Lifesaving, Leadership, Safety Services and Standards, and Lifesaving Sport initiatives.
Reporting to the Interim Managing Director / Executive Director, the Programs Coordinator provides timely, accurate, and responsive support to members, affiliates, volunteers, participants, and the public. The Coordinator manages routine program administration, communications, records, event logistics, grant-delivery support, and quality-assurance administration so that program specialists can focus on technical leadership, program development, research, standards, and strategic projects.

What you will do
Learn-to-Swim and non-vocational program coordination
· Coordinate day-to-day administration for Learn-to-Swim and other assigned non-vocational programs.
· Respond to routine inquiries from affiliates, instructors, participants, parents/guardians, facilities, and the public using approved resources and procedures.
· Support affiliate onboarding, program implementation, resource distribution, routine communications, and collection of program feedback.
· Coordinate program materials, forms, recognition items, records, and routine reporting requirements.
· Identify recurring member questions, barriers, and administrative issues, and recommend practical improvements to service, resources, or workflows.
· Escalate technical interpretation, policy exceptions, significant concerns, and complex quality-assurance matters to the appropriate Specialist or Coordinator.
Programs Team administration and member support
· Provide administrative and coordination support across Leadership, technical programs, Safety Services and Standards, and Lifesaving Sport.
· Prepare and distribute routine program communications, meeting materials, agendas, minutes, reports, newsletters, and resource updates.
· Coordinate calendars, registrations, participant communications, records, forms, and follow-up for courses, clinics, meetings, projects, and events.
· Maintain organized shared files, templates, procedures, tracking tools, and program resource libraries.
· Support timely, professional responses to program-related inquiries that are referred through the Office & Member Services Coordinator or received directly.
· Maintain accurate records and protect confidential member, participant, volunteer, and organizational information.
Program quality-assurance support
· Receive, log, organize, and track routine program-quality concerns, documentation, and follow-up actions in accordance with established procedures.
· Review submissions for completeness and request missing information before escalation where appropriate.
· Maintain quality-assurance trackers, correspondence records, action logs, and trend summaries.
· Support the preparation of routine quality-assurance reports, meeting materials, and documentation.
· Identify recurring administrative or process issues that may affect program quality, member experience, or consistency of delivery.
Events, grants, and direct delivery
· Support planning and delivery of Branch program events, clinics, workshops, meetings, and community initiatives.
· Coordinate registrations, participant communications, materials, logistics, schedules, evaluation tools, and post-event follow-up.
· Support grant-funded program initiatives through participant records, documentation, logistics, reporting inputs, and communication with partners.
· Provide direct delivery and event support within current qualifications, assigned scope, and organizational requirements.
· Assist with volunteer coordination, communications, recognition, meeting logistics, and recordkeeping as assigned.
Process improvement and team collaboration
· Work collaboratively with the Leadership Specialist, Lifesaving Sport Specialist, and Safety Services and Standards Coordinator to clarify workflows, maintain service standards, and reduce routine administrative burden.
· Develop and maintain practical checklists, templates, frequently asked questions, and standard operating procedures.
· Use available digital systems, data, and feedback to improve response times, record accuracy, service consistency, and program administration.
· Participate in Branch projects, digital-platform implementation activities, staff meetings, and other organizational initiatives as assigned.
What you bring
Required
· Two or more years of experience in program administration, member or affiliate support, aquatic recreation, education, non-profit operations, event coordination, or a related field.
· Demonstrated working knowledge of Lifesaving Society programs, program delivery environments, credentials, or affiliate operations.
· Experience providing clear, professional support to members, participants, instructors, facilities, volunteers, community partners, or the public.
· Strong administrative skills, including accurate data entry, records management, document control, scheduling, correspondence, and tracking multiple tasks to completion.
· Excellent written and verbal communication skills, with the ability to provide consistent, helpful guidance and adapt communication for different audiences.
· Strong organizational skills, attention to detail, initiative, and ability to manage competing priorities in a busy environment.
· Proficiency with Microsoft 365, including Outlook, Word, Excel, Teams, and shared online files.
· Ability to learn and use online systems, including CRM, registration, membership, database, shared document, or web-form platforms.
· Sound judgment, discretion, and commitment to privacy, confidentiality, respectful service, and continuous improvement.
Assets
· Current Lifesaving Society certifications in Swim for Life, Lifesaving, First Aid, National Lifeguard, leadership, safety services, or Lifesaving Sport.
· Experience supporting Learn-to-Swim, affiliate operations, instructor development, program quality assurance, certification administration, or aquatic facility operations.
· Experience coordinating grants, community programs, volunteers, committees, sport events, or large-scale program events.
· Experience developing procedures, templates, training resources, reports, newsletters, or program communications.
· Experience supporting a CRM, digital-platform rollout, data-quality processes, online member service, or change-management activities.
· Familiarity with drowning-prevention, aquatic safety, recreation, education, or non-profit program delivery.
Working conditions and pre-employment requirements
· The successful candidate will be based in Edmonton, AB, and must be willing to travel periodically within the region. A valid driver's license and access to a reliable, insured vehicle are required.
· Occasional evening or weekend work may be required to support courses, events, meetings, program delivery, or community initiatives, with advance notice where possible.
· The role may occasionally require moving program materials, event supplies, or resource boxes. Candidates must be able to perform these duties safely, with accommodation available where required.
· A satisfactory Criminal Record Check, including Vulnerable Sector Check, may be required before employment.
· A clean driver’s abstract may be required before employment
