About the Role
UISA is seeking an organized and service-oriented League Operations Administrator (LOA) to support the day-to-day administration of our leagues, competitions, events, and member services.
Reporting to the Board, the LOA serves as a key point of contact for clubs, participants, and stakeholders while helping ensure the smooth operation of league activities, competitions, registrations, and organizational initiatives.
This is a flexible, work-from-home position averaging 15–20 hours per week during the soccer season (September–May), with reduced hours during the summer months.
Key Responsibilities
- Provide administrative support to district leagues, including team groupings, schedule creation and maintenance, score recording, and match result posting.
- Maintain registration, player, team, and organizational databases.
- Manage communications and respond to inquiries from clubs, players, parents, coaches, referees, and volunteers.
- Support discipline processes and committee administration.
- Assist with tournaments, festivals, Cup Finals, and other association events.
- Liaise with member clubs, partner organizations, and governing bodies.
- Provide administrative support for meetings, records management, and organizational operations.
- Support basic financial administration, including invoice and reimbursement processing.
- Manage and maintain the district player and team database system (SpAppz).
- Manage general administrative functions, including email correspondence, phone inquiries, document management, and office administration.
Qualifications
- Certificate or diploma in Business Administration, Sport Administration, or a related field from a recognized institution; or an equivalent combination of education and relevant work experience.
- Valid driver's licence and ability to obtain a Criminal Record Check.
- Experience in sport, recreation, nonprofit, or membership-based organizations preferred.
- Familiarity with WordPress, SpAppz, PowerUp, or similar registration/database systems an asset.
- Knowledge of youth soccer operations and BC Soccer structures an asset.
Working Conditions
- Flexible work-from-home schedule.
- Availability during regular business hours.
- Attendance at occasional evening meetings (1–2 per month).
- Attendance at approximately 6–8 weekend events annually, with dates typically known well in advance.
