About the role
Future Dreams Immigration Inc. is seeking an experienced Immigration Caseworker & Student Admissions Coordinator for a full-time, permanent, in-person position at our Brampton office. This is a hands-on role combining Canadian immigration case preparation, international student admissions, client service, and administrative support.
This position is intended for candidates who already have practical experience with Canadian immigration files and student-admissions portals. It is not an entry-level training role.
Key responsibilities
Prepare, organize, review, and update Canadian immigration applications and supporting documents under the supervision of a licensed RCIC.
Work on temporary and permanent residence matters, including visitor visas, study permits, work permits, extensions, family sponsorship, Express Entry and provincial nominee files, as assigned.
Create and maintain client profiles, checklists, forms, submission packages, file notes, deadline calendars, and follow-up schedules.
Review client documents for completeness, consistency, expiry dates, signatures, translations, and missing information.
Communicate professionally with clients to request documents, provide status updates, schedule appointments, and explain administrative next steps without providing unauthorized legal advice.
Support international student admissions from initial assessment through application and offer-letter follow-up.
Create student profiles and submit applications through ApplyBoard and other college or university admissions portals.
Track applications, admission requirements, offers, tuition-deposit deadlines, deferrals, intake changes, and letters of acceptance.
Liaise with schools, admissions representatives, clients, and internal team members.
Perform administrative duties including data entry, document scanning, electronic filing, email and telephone correspondence, appointment coordination, payment follow-up, and maintaining confidential records.
Maintain accurate CRM and case-management records and meet internal quality-control and deadline standards.
Handle personal information with strict confidentiality and comply with office procedures and applicable privacy requirements.
Required qualifications
At least one year of recent, hands-on experience preparing Canadian immigration files in a Canadian-regulated immigration practice or law-office environment.
Practical experience with international student admissions, including creating student profiles and using ApplyBoard or comparable college/university application portals.
Completion of a two-year post-secondary diploma or a bachelor's degree.
Working knowledge of Canadian immigration forms, supporting-document requirements, online portals, file organization, and deadline management.
Strong written and spoken English.
Strong attention to detail, organization, judgment, and ability to manage multiple active files.
Proficiency with Microsoft Office, PDF/document-management tools, email, cloud files, and CRM or case-management systems.
Ability to work full-time, in person at our Brampton office.
Legally entitled to work in Canada.
Assets
Experience with additional admissions portals and direct college or university applications.
Experience with refusal files, permanent residence, provincial nominee programs, family sponsorship, or temporary residence applications.
Ability to communicate professionally in Punjabi and/or Hindi is an asset because the role regularly serves clients who prefer these languages. All qualified applicants will be considered.
Compensation and employment
$18.00–$22.00 per hour, based on directly relevant experience and demonstrated ability.

Required AI and technology skills
Demonstrated working knowledge of modern AI and productivity tools, including Microsoft Copilot, ChatGPT, or comparable platforms.
Practical ability to use approved AI tools for drafting, research support, document organization, checklists, summaries, and workflow improvement, with mandatory human review for accuracy.
Proficiency with cloud file systems, Microsoft Office, PDF/document-management software, email, CRM or case-management systems, and the ability to learn new software quickly.
Sound judgment in protecting client confidentiality. Personal, privileged, or confidential client information must never be entered into an AI tool unless the firm has expressly approved the tool and the specific use.
Applicants should include examples of how they have used AI, cloud, or automation tools in administrative, admissions, or case-management work without compromising confidentiality.

Additional assets — social media and office marketing
Experience managing business social media accounts, especially Instagram and Facebook, is an asset but is not required.
Experience creating, monitoring, and improving Meta Ads campaigns, including audience targeting, creative testing, lead tracking, and basic performance reporting, is an asset.
Ability to plan, record, and edit professional short-form videos or Reels featuring office services, immigration education, client-safe updates, and company marketing is an asset.
Familiarity with Canva, CapCut, Adobe Express, Meta Business Suite, or comparable content-creation and scheduling tools is beneficial.
