We’re looking for a motivated, fast-learning Customer Service/Logistics Representative to join our team in Pincher Creek. Your main purpose in this role is to be operational support for Logistics, Customer Service, and order fulfillment. You help ensure customers receive the right product at the right time by coordinating shipments, delivery details, customer communication, and logistics activities with accuracy and professionalism. You support the CS team by keeping freight, paperwork, schedules, and office operations organized, preventing issues before they reach the customer, and helping maintain a reliable customer experience.
Key Responsibilities
Reception
- Greet visitors, dealers, truck drivers, and walk-in customers professionally, and answer phone calls
- Maintain a clean, organized reception area and receive packages
- Monitor the shared inbox and voicemails, and fill out New Leads Forms
- Track office supply levels, place orders, and ensure janitorial supplies are stocked
- Communicate clearly with customers, dealers, vendors, carriers, and internal teams, maintaining a customer-first mindset
- Get accurate answers for customer requests, never guess or assume
- Support CS reps during busy periods and coverage gaps, and direct cold callers to the nearest dealer
Customer Service Team Support
- Participate in daily customer service meetings
- Build loads and support order processing as required, keeping CS team workflow moving to prevent bottlenecks
Logistics Coordination
- Manage all Super Transport scheduling, outbound and inbound loads
- Run the scheduling meeting and text the schedule to drivers
- Oversee daily logistics activities, prioritize shipment requirements, and oversee trailer moves to ensure load efficiency at both facilities
- Ensure Super Transport drivers’ paperwork is complete and placed in their inbox, and complete all load paperwork
- Enter, review, and mark SOTs shipped and delivered, and enter Super Transport freight info
- Oversee all Super Transport logs and log audits, safety paperwork, and maintenance paperwork
- Oversee fleet registration, notify the CEO when registrations are needed, and take responsibility for CVIPs
- Monitor the Dispatch email inbox and phone, and use Driver WhatsApp groups for all group communications
- Direct 3PL drivers, schedule carriers, and manage logistics platforms
- Add freight costs and verify freight accuracy
- Coordinate with carriers, customers, and shipping teams regarding deliveries, including customs paperwork and cross-border shipment requirements
- Resolve freight scheduling and delivery issues before they affect customers
- Obtain delivery times from Super Transport drivers and ensure drivers are contacting customers and following delivery procedures
Order Fulfillment Support
- Fulfill orders and support fulfillment activities to ensure orders move smoothly from production to delivery
- Print BOLs, packing slips, customs documents, and shipping paperwork, ensuring all shipment documentation is complete and accurate

Shipping Accuracy
- Shipping paperwork is complete and accurate, and loads leave on time without confusion or last-minute scrambling
- Customers receive accurate delivery information
Customer Experience
- Customers receive prompt communication and clear answers
- Logistics issues are resolved before they become customer problems, keeping the customer experience professional and reliable
Operational Support
- Fellow Customer Service Representatives can focus on customers because administrative and logistics tasks are handled proactively
- Freight, paperwork, schedules, and office operations remain organized and under control
- The team operates with minimal follow-up, reminders, or rework
Qualifications
- Minimum 2 years of experience in logistics, dispatch, or a related field
- Strong customer service orientation with a professional, friendly approach
- Self-starter who is motivated, adaptable, and quick to learn
- Comfortable learning internal systems and software (full training provided)
- Strong organizational skills and attention to detail
- Excellent verbal and written communication skills
- Ability to manage multiple priorities in a fast-paced environment
