Moroz Child Psychology Group is seeking an experienced, exceptionally capable full-time receptionist/administrative professional to join our team. This is a permanent, career-oriented position for someone who takes pride in being exceptionally organized, personable, efficient, and able to manage many competing demands at once.
This is an extremely fast-paced position
Although we are a psychology practice, this is not a quiet reception position with significant downtime. Our clinic is extremely busy throughout the day, and the person in this role needs to be comfortable wearing multiple hats and moving quickly between responsibilities.
At any given moment, you may be answering phones and emails, greeting families, coordinating clinicians’ schedules, booking and changing appointments, processing payments, working with our booking and payment systems, responding to client concerns, helping prospective families understand our services, and simultaneously responding to the administrative needs of as many as eight psychologists.
The successful candidate will need to be able to shift between these responsibilities quickly without losing accuracy, professionalism, or warmth.
Exceptional client care is essential
Families contact our clinic at a time of significant need. Their child is struggling, and they have reached the point of seeking professional help. Their first interaction with our practice matters enormously.
We are looking for someone with exceptional interpersonal and telephone skills who can make people feel welcomed and cared for while remaining efficient and professional. You must be comfortable speaking with parents about our services, explaining the value of psychological treatment and assessment, answering questions about fees, and helping families decide whether our clinic is the right fit for their needs.
Some of our services represent a significant financial investment for families. This means the position also requires confidence in discussing and selling higher-cost professional services in a thoughtful, ethical and non-pressure-oriented manner.
We are looking for someone who:
- Has substantial experience in reception, administration, client service or a comparable high-volume role
- Thrives in an extremely fast-paced, multitasking environment
- Is exceptionally organized and able to prioritize competing demands
- Learns booking, scheduling and payment systems quickly
- Is comfortable with technology and administrative software
- Communicates extremely well by telephone, email and in person
- Remains warm, professional and solution-focused when dealing with frustrated or upset clients and does not become easily rattled by difficult interactions
- Has excellent judgment when dealing with clients and sensitive situations
- Can confidently explain services, fees and options to prospective clients
- Is comfortable with the sales/client-conversion component of the position
- Notices what needs to be done without constantly needing direction
- Is dependable, mature and professional
- Wants to become an important, long-term member of an established practice
This position is probably not a good fit if:
You are looking for a quiet reception position, prefer completing one task at a time, become easily overwhelmed by interruptions, or are primarily looking for a temporary position while pursuing another career.
We are specifically hoping to find someone who enjoys being busy, takes ownership of their work, and is looking for a position in which they can become an integral part of our practice for years to come.
Schedule and compensation
This is a full-time, five-day-per-week position, Monday through Friday, with the workday anticipated to begin at approximately 8:30 or 9:00 a.m.
Starting wage: $31.00 per hour.
