We are seeking a motivated and detail-oriented Administrative Assistant / Immigration Case Manager to support our Regulated Canadian Immigration Consultant (RCIC) in managing immigration files and delivering exceptional client service.
Job Overview
The Administrative Assistant / Immigration Case Manager is responsible for supporting the day-to-day operations of the firm by assisting the Regulated Canadian Immigration Consultant (RCIC) with the preparation and management of immigration applications, coordinating client documentation, maintaining accurate case files, and providing professional client support throughout the immigration process. The successful candidate will possess excellent organizational and communication skills, exceptional attention to detail, the ability to manage multiple deadlines, and a strong commitment to maintaining the confidentiality and integrity of client information while delivering high-quality administrative and case management support.
Key Responsibilities
- Assist the Regulated Canadian Immigration Consultant (RCIC) in preparing, organizing, and managing immigration applications and supporting documentation.
- Coordinate requests for documents and information from clients to ensure complete and timely submission of immigration applications.
- Communicate with clients throughout the immigration process by phone, email, and in person, providing updates, answering inquiries, and explaining documentation requirements.
- Open, organize, maintain, and update electronic and physical client files while ensuring accuracy, confidentiality, and compliance with office procedures.
- Review and proofread immigration forms, correspondence, submission letters, and supporting documents for accuracy, completeness, consistency, and compliance with immigration requirements.
- Perform accurate data entry and maintain up-to-date records within the firm's case management system.
- Monitor application progress, document requests, and critical deadlines, and follow up with clients to obtain outstanding information in a timely manner.
- Prepare, scan, photocopy, upload, organize, and file client documents and correspondence for submission through IRCC and provincial immigration portals, as directed.
- Conduct follow-ups with clients and government agencies regarding application status and additional document requests.
- Perform general administrative and clerical duties, including scheduling appointments, answering telephone calls, responding to emails, and maintaining organized office records.
- Collaborate with the RCIC and other team members to ensure efficient workflow, timely case processing, and exceptional client service.
- Maintain the confidentiality of client information and adhere to professional, legal, and privacy standards at all times.

Qualifications
- Completion of a college diploma or university degree in Business Administration, Office Administration, Legal Administration, Public Administration, or a related field, or equivalent work experience.
- Minimum one year of experience in an administrative role; experience in an immigration consulting or legal office is considered a strong asset.
- Excellent written and verbal communication skills in English.
- Strong organizational and time-management skills with the ability to manage multiple files and deadlines.
- Exceptional attention to detail and proofreading skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook), Adobe Acrobat, and general office software.
- Experience with case management or document management software is an asset.
- Knowledge of Canadian immigration programs, IRCC procedures, and provincial nominee programs is preferred.
- Strong interpersonal, client service, and problem-solving skills.
- Ability to work independently, prioritize competing tasks, and maintain confidentiality.
