We are seeking a dynamic and highly organized Executive Assistant to join and support our team with efficiency and professionalism. This vital role involves accounts payables, accounts receivables, coordinating communications and handling administrative tasks with precision. Responsibilities
- Contribute to orderly day-to-day operations by undertaking to personally know, understand, support and follow TRICON corporate structure and chain of command.
- Handle incoming calls with professionalism, utilizing multi-line phone systems and practicing excellent phone etiquette to address inquiries or direct calls appropriately.
- Maintain filing systems and databases, accurately and properly organize and file correspondence, remittances, invoices, and receipts, produce year-end working papers and spreadsheets, assist with internal/external audit or independent review preparation.
- Review cash control procedures and monitor safeguarding of assets.
- Perform data entry tasks with high accuracy, including accounting functions using Premier Construction Software for financial recordkeeping.
- Coordinate meetings by preparing agendas, taking minutes and distributing follow-up materials promptly.
- Perform bookkeeping duties such as invoicing, expense tracking and reconciling accounts as needed.
- Support front desk operations by greeting visitors, managing mail distribution, and overseeing office supply inventory.
- Maintain confidentiality of sensitive information while providing exceptional customer service to internal teams and external clients.
- Perform other duties as assigned by the Business Manager.
Experience
- Post secondary education in business, finance, accounting, or a related field or equivalent experience.
- Proven clerical or administrative experience in an office environment demonstrating strong organizational skills.
- Familiarity with office software including Microsoft Office Suite (Word, Excel, PowerPoint).
- Previous experience in bookkeeping or financial recordkeeping is preferred.
Skills
- Excellent ability to read, understand and calculate financial figures.
- Comprehensive understanding of accepted accounting rules, practices, tax laws and reporting requirements.
- Comprehensive knowledge of accounting systems, budgets and internal controls.
- Demonstrated time management skills, high level of integrity and excellent work ethic.
- Excellent proofreading skills to ensure error-free communication.
- Demonstrated ability to manage multiple priorities efficiently in a fast-paced setting while maintaining attention to detail.
- Ability to use sound reasoning when faced with various issues; have the ability to make quick, effective decisions.
- Willingness to undertake further training & education as deemed necessary.
