In 1949 they acquired the four-year-old Vancouver branch of an American-based company. From this modest beginning, the Company now has a Head Office in Burnaby, twenty-three Branches, and Four Distribution Centers spread across Western Canada. The Opportunity:
Scope of the position
We are seeking a highly organized and proactive Marketing Operations Administrator to support the execution of marketing initiatives, events, reporting, campaigns, and operational projects across the business. This role is ideal for someone who enjoys balancing data analysis, project coordination, and hands-on execution while ensuring marketing initiatives are delivered efficiently and effectively.
The successful candidate is proactive, resourceful, and able to manage competing priorities while maintaining a high level of accuracy and accountability.
Key Responsibilities
Event Planning & Execution
- Assist in planning and executing events, including:
- Customer incentive trips
- Internal events (e.g., golf tournaments, Tool Expo)
- Support logistics, coordination, and post-event follow-up
- Assist with event registration management, attendee tracking, and post-event reporting.
- Support sponsorship tracking and fulfillment activities.
Marketing Collateral & Asset Management
- Manage internal and external marketing collateral, including:
- Posters
- Branded apparel and wearables
- Promotional giveaways
- Oversee ordering and coordination of co-branded collateral
Product Launch Support
- In coordination with the Marketing Manager and Marketing Coordinator, support new product launches by:
- Coordinating marketing assets across email, social media, and website
- Ensuring timely execution of all launch elements
- Coordinating product launch timelines and marketing deliverables using Asana and departmental workflows.
Program Coordination
- Manage the RSL Student Toolbox program, including:
- Student registrations
- Welcome kit and branded collateral distribution
- Program reporting
Email & Social Media Execution
- Build and deploy email campaigns within the company's email marketing platform (e.g., SendGrid, Constant Contact)
- Schedule and post social media content per the marketing calendar
- Maintain email lists, subscriber records, and CASL compliance documentation
- Pull reporting and engagement metrics for review by the Marketing Coordinator
Marketing Operations & Project Coordination
- Maintain assigned tasks and projects within Asana and other departmental systems
- Monitor task completion and escalate issues that may impact timelines.
- Assist with project intake and workflow coordination.
- Support campaign execution across email, website, social media, and branch marketing initiatives.
- Ensure project updates, deadlines, and documentation remain current
Team Support & Coverage
- Provide backup support for Marketing Administrators, Marketing Coordinator, and other marketing team members as required
- Assist in maintaining continuity of projects and communications during vacation, illness, or peak workload periods
- Support cross-functional marketing initiatives to ensure deadlines and deliverables are achieved
- Act as a primary point of contact for branch and vendor marketing requests
- Escalate requests to appropriate marketing team members when required
Logistics & Operations
- Act as the main point of contact for shipping and receiving marketing materials
- Organize inventory and prepare materials for distribution
Additional Responsibilities
- Take on additional marketing or administrative tasks as required to support team objectives
Work Environment & Expectations
This role requires a flexible, hands-on individual who can work efficiently both mentally and physically. Responsibilities occasionally include working in a warehouse environment, such as:
- Receiving marketing materials
- Organizing inventory
- Preparing shipments
Materials may range from printed collateral and promotional items to larger assets such as signage.
The Marketing team manages multiple concurrent projects with many moving parts. Success in this role requires:
- Strong judgment and the ability to work independently with minimal supervision
- Excellent time management and prioritization skills
- A proactive approach to keeping projects on track
- Ownership and accountability for assigned tasks
Required Skills & Qualifications
- Experience working with project management platforms such as Asana, Monday.com, Smartsheet, or similar systems.
- Strong ability to manage multiple projects and deadlines simultaneously.
- Advanced proficiency in Microsoft Excel
- Experience with SharePoint
- Strong working knowledge of Microsoft Office Suite
- Exceptional organizational and multitasking abilities
- Strong communication and coordination skills
- High attention to detail and accuracy
What we offer:
The target salary range for this position is $50,000 - $60,000 CAD per annum. The pay range for this position is a general guideline only. The salary will depend on internal pay equity and the candidate's relevant skills, experience, qualifications, and job market data.
