About Us
North Automotive Group is a busy, locally owned automotive repair shop serving Lindsay and the surrounding Kawartha Lakes area. We are looking for a friendly, organized and dependable receptionist and administrative assistant to support our customers, technicians and management team.
The ideal candidate communicates professionally, stays calm in a fast-paced environment and can manage several responsibilities without losing attention to detail. Automotive experience is preferred but not required for the right candidate.
Responsibilities
- Greet customers and provide friendly, professional service
- Answer telephone calls, emails and online inquiries
- Schedule appointments and organize the daily shop calendar
- Create and update customer and vehicle profiles
- Record customer concerns accurately for technicians
- Prepare work orders, estimates and invoices
- Explain estimates, recommended repairs and timelines clearly
- Obtain customer authorization before repairs begin
- Provide customers with vehicle-status updates
- Process cash, debit and credit-card payments
- Follow up on outstanding estimates, declined work and unpaid invoices
- Order parts and communicate with suppliers when required
- Coordinate parts deliveries, returns, credits and warranty claims
- Maintain organized digital and paper records
- Enter receipts, expenses and other information into the bookkeeping system
- Assist with accounts receivable and accounts payable
- Reconcile daily payments and prepare end-of-day reports
- Send service reminders and follow up with customers
- Help maintain a clean and organized reception area
- Support management with general administrative duties
- Assist with other shop-related tasks as required
Qualifications
- Previous reception, customer-service or administrative experience
- Strong verbal and written communication skills
- Excellent organization and attention to detail
- Comfortable handling busy telephone lines and multiple customers
- Confident using computers, email and office software
- Able to learn automotive terminology and shop procedures
- Professional, reliable and punctual
- Able to handle customer concerns calmly and respectfully
- Comfortable discussing pricing and collecting payments
- Valid Ontario driver’s licence is preferred
Preferred Experience
- Experience working in an automotive repair shop or dealership
- Familiarity with Tekmetric or other shop-management software
- Experience with QuickBooks Online
- Knowledge of vehicle parts, repairs and maintenance
- Experience preparing work orders, estimates and invoices
- Basic bookkeeping or accounts-receivable experience

We need someone who takes ownership of the front desk and keeps customers informed throughout the repair process. The successful candidate will be organized, confident, honest and comfortable working independently while also supporting the entire shop team.
