Position: DC Administrator
Location: Kelowna, BC
Shift Schedule: Monday – Friday, 8:00am – 4:30pm

Reporting to the Kelowna Distribution Center Manager, the Warehouse Administrator provides administrative support to the warehouse leadership team to ensure the efficient day-to-day operation of both Distribution Centers. This position is responsible for coordinating payroll administration, onboarding, health and safety documentation, operational reporting, training records, purchasing, and continuous improvement initiatives. The Warehouse Administrator works closely with Department Leads to maintain accurate records, support compliance requirements, improve administrative processes, and ensure operational information is organized, timely, and actionable.

What You’ll Do:

Ensure employee timecards are reviewed, corrected, and submitted accurately within ADP prior to payroll deadlines.

Coordinate onboarding and orientation for new warehouse team members, maintaining employee training records and the Training Matrix.

Assist Department Leads and the Continuous Improvement Manager with developing, maintaining, and updating Standard Operating Procedures (SOPs) and other operational documentation.

Support incident investigations by preparing documentation, tracking corrective actions, and maintaining compliance with WorkSafeBC and company health and safety requirements.

Prepare and distribute weekly and monthly operational reports, including departmental KPIs, staffing updates, attendance, absenteeism, overtime, and other operational metrics.

Track warehouse equipment utilization and coordinate scheduled equipment maintenance and facility repair requests.

Monitor inventory levels and coordinate the procurement of warehouse supplies, office supplies, PPE, first aid supplies, and other operational materials.

Prepare meeting agendas, record meeting minutes, and maintain organized administrative records, filing systems, and operational documentation.

Support continuous improvement initiatives through data collection, reporting, documentation, and administrative coordination of operational improvement projects.

Promote a safe, organized, and efficient workplace while supporting warehouse leadership with day-to-day administrative functions.

Perform other duties and special projects as assigned by management.
Do you fit the part?

Minimum 2 years of experience in an administrative role.

Experience in a warehouse, logistics, manufacturing, or distribution environment is considered an asset.

Experience using ADP Payroll software is considered an asset.

Experience preparing reports, maintaining operational records, or coordinating administrative processes.

Experience writing or maintaining Standard Operating Procedures (SOPs) or other technical documentation is considered an asset.
