Job Title: Administrative Assistant
Reports to: Director, Early Childhood Education
Hours: F/T Mondays-Fridays
Wage Range: $24.14 - $29.06
Overview: Provide administrative and classroom support to ensure the efficient operation of the Early Childhood Education Department
Qualifications:
Strong computer skills, including Word, PowerPoint, Excel, Adobe, Google hosted platforms and additional design programs
Excellent English speaking, writing and editing skills
Systems organization with close attention to detail
Three References
Valid Criminal Record Check
Valid First Aid Certificate with CPR or willingness to obtain
Responsible Adult certification or ECE/A License to Practice
Responsibilities, as listed but not limited to:
Management of clerical work for all ECE programs
Waitlist management
File management - paper and electronic
Payroll preparation – including BC Wage Enhancement submission
Lunch orders
Budget tracking, petty cash preparation, credit card reconciliation
Parent package preparation
Data entry and document design for admin and classroom purposes
Preschool Registration
Take lead during emergency situations in absence of Director or Coordinator
Office supply management including printer cartridges
Support Director or Coordinator with human resources administrative functions, including maintaining employee files, preparing employment documentation for approval, and coordinating appointments
Work with Director or Coordinator to maintain and update all ECE Staff and Family Handbooks
In-Program Support
Educator on Shalom Aleph Preschool team, as required
In ratio to cover short periods of illness or absence of educators
School pick-up, as assigned or as required
Event Planning
Work with Director or Coordinator to plan: all staff events, learning evenings, professional development days, family events
Arrange room bookings, submit set-up sheets
Health, Safety and Nutrition
Perform monthly playground checks and coordinate repairs with JCC Building Manager
Maintain emergency supply stock
Maintain first aid supply stock
Centre-wide Responsibilities
Participate in functions and activities including social, holiday and fundraising events which may or may not occur within their usual designated hours of work
