The Executive Assistant / Administrative Assistant provides administrative, operational, and HR support to executive leadership and corporate teams. This role helps ensure the organization runs smoothly by supporting recruitment activities, employee engagement initiatives, travel coordination, licensing administration, event planning, and day-to-day business operations.
This position is well suited for an experienced Administrative Assistant seeking a diverse and impactful role, or an early-career HR professional looking to gain hands-on experience across multiple areas of Human Resources and business operations. It provides exposure to recruitment, employee engagement, HR administration, compliance, and special projects, with potential to progress into a dedicated HR role.

Key Responsibilities
- Provide administrative support to executive leadership and department leaders
- Support recruitment efforts, including job postings, career fairs, employer branding, and applicant tracking through the ATS
- Coordinate employee engagement initiatives, including social events, recognition programs, and internal communications
- Manage travel and accommodation bookings, expense reports, courier services, office supply orders, and general office administration
- Administer licensing applications, renewals, dealer agreements, and other compliance-related documentation
- Maintain relationships with vendors, service providers, and corporate partners
- Coordinate company meetings, events, and special projects
- Assist with employee surveys, insurance administration, onboarding activities, and other HR-related initiatives
- Support the maintenance of employee records and HR documentation
- Other administrative and project-related duties as required
Qualifications & Characteristics
- Diploma, certificate, or related education in Business Administration, Human Resources, Office Administration, or a related field is considered an asset
- Minimum 1–3 years of administrative, office coordination, executive support, or related experience preferred
- Proficiency with Microsoft 365 applications, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint
- Experience working with an Applicant Tracking System (ATS), Human Resources Information System (HRIS), or payroll system is considered an asset
- Strong organizational and multitasking abilities with the ability to manage competing priorities
- Ability to handle confidential and sensitive information with professionalism and discretion
- Excellent communication and interpersonal skills
- High attention to detail and commitment to quality
- Proactive, resourceful, and adaptable in a fast-paced environment
- Demonstrated interest in Human Resources, talent acquisition, employee engagement, or business operations is considered an asset
