Position Summary
JBS EXPEDITE is seeking a highly experienced Flatbed & Specialized Equipment Dispatcher to manage daily dispatch operations for flatbed and specialized equipment across Canada and the United States.
The ideal candidate will have extensive experience dispatching flatbed and specialized freight, including oversized, overweight, dimensional, automotive, machinery, steel, and industrial shipments. This position requires strong knowledge of equipment requirements, load securement, permits, routing, driver hours, cross-border transportation, and specialized freight operations.
The successful candidate will be responsible for maximizing equipment utilization, maintaining strong customer and carrier relationships, securing profitable loads, and ensuring shipments are delivered safely and on time.
Key Responsibilities Flatbed & Specialized Equipment Dispatch
- Dispatch and manage flatbed, step deck, RGN, lowboy, extendable, and other specialized equipment.
- Match loads with the appropriate equipment based on dimensions, weight, loading requirements, and customer specifications.
- Coordinate drivers, owner operators, and third-party carriers to ensure adequate capacity.
- Plan and optimize routes based on load dimensions, weight restrictions, bridge restrictions, permits, fuel efficiency, and delivery requirements.
- Monitor shipments in real time and provide proactive updates to customers and internal teams.
- Coordinate pickups, deliveries, appointments, loading requirements, and special handling instructions.
- Ensure equipment is positioned efficiently to maximize utilization and minimize empty miles.
- Manage time-sensitive and JIT shipments where delivery timing is critical to customer operations.
Specialized & Oversized Freight
- Coordinate shipments involving oversized, overweight, wide, tall, or otherwise dimensional freight.
- Understand equipment requirements for different types of specialized loads.
- Coordinate with permit offices, pilot/escort services, customers, terminals, and carriers as required.
- Verify load dimensions, weights, axle requirements, and equipment specifications before dispatch.
- Ensure drivers have the necessary permits, documentation, routing instructions, and safety requirements before departure.
- Develop contingency plans for route restrictions, weather, equipment failures, border delays, and other operational challenges.
Customer & Carrier Relationships
- Maintain strong relationships with existing customers, carriers, owner operators, and industry partners.
- Communicate directly with customers regarding shipment status, pricing, capacity, delays, and operational requirements.
- Identify opportunities to expand business with existing customers and develop new freight opportunities.
- Source and negotiate rates with qualified third-party carriers when additional capacity is required.
- Ensure customers receive timely and professional communication throughout the shipment lifecycle.
- Resolve service issues quickly and professionally to maintain customer satisfaction.
Load Planning & Equipment Management
- Review load dimensions and weights to determine the most suitable equipment.
- Coordinate loading and unloading requirements, including crane, forklift, loading dock, and specialized handling requirements.
- Ensure proper weight distribution and load securement requirements are communicated to drivers.
- Monitor equipment availability and strategically position equipment for upcoming loads.
- Minimize empty miles and maximize revenue per truck and per available operating hour.
- Coordinate backhauls and reload opportunities whenever possible.
Cross-Border Operations
- Coordinate flatbed and specialized shipments between Canada and the United States.
- Ensure drivers and carriers have the appropriate customs documentation and border-crossing information.
- Work with customs brokers and internal customs teams to resolve clearance issues.
- Understand requirements associated with commercial shipments, permits, and cross-border transportation.
- Proactively communicate border delays or documentation issues that could impact delivery schedules.
Operational Coordination & Problem Solving
- Anticipate and resolve operational issues involving traffic, weather, equipment breakdowns, permits, routing restrictions, loading delays, and customer changes.
- Reassign loads or equipment when necessary to prevent service disruptions.
- Coordinate with maintenance teams when equipment issues may affect scheduled shipments.
- Make real-time operational decisions in a fast-paced environment.
- Maintain accurate dispatch records and ensure all shipment information is updated in the TMS.
Compliance & Safety
- Ensure drivers and carriers comply with applicable DOT, FMCSA, and Canadian transportation regulations.
- Monitor Hours of Service (HOS) and driver availability when planning loads.
- Ensure proper load securement procedures are followed.
- Confirm specialized loads meet applicable weight, dimension, permit, and routing requirements.
- Promote a strong safety culture and ensure all transportation operations are conducted safely and legally.
Data Management & Reporting
- Utilize TMS, load boards, GPS/ELD systems, and other transportation software to manage shipments.
- Maintain accurate dispatch records, driver information, equipment information, and shipment status.
- Monitor key performance indicators including on-time delivery, equipment utilization, empty miles, revenue, and service performance.
- Provide management with regular operational updates and performance reports.
- Identify opportunities to improve dispatch efficiency and profitability.
Collaboration & Teamwork
- Work closely with sales, customer service, operations, safety, maintenance, and accounting teams.
- Coordinate with external carriers, brokers, customers, permit services, and other transportation partners.
- Share industry knowledge and contribute ideas to improve JBS EXPEDITE's specialized transportation operations.
- Support the company's continued growth in the flatbed and specialized transportation market.
Qualifications
- 3+ years of transportation dispatch experience, with significant experience in flatbed or specialized equipment.
- Strong knowledge of flatbed, step deck, RGN, lowboy, and specialized equipment operations.
- Experience handling oversized, overweight, dimensional, industrial, automotive, machinery, or steel freight.
- Strong understanding of load dimensions, weight distribution, equipment selection, and load securement.
- Knowledge of permits, routing restrictions, pilot/escort requirements, and specialized transportation procedures.
- Experience with Canada–U.S. cross-border transportation.
- Strong knowledge of DOT/FMCSA, HOS, and applicable Canadian transportation regulations.
- Experience using TMS, load boards, GPS/ELD systems, and transportation management software.
- Excellent communication, negotiation, and relationship-building skills.
- Strong problem-solving and decision-making abilities.
- Ability to work effectively under pressure and manage multiple shipments simultaneously.
- Strong attention to detail and organizational skills.
- Ability to work extended hours, including evenings, nights, and weekends, when required.
Preferred Qualifications
- Established relationships with flatbed, specialized, industrial, automotive, or heavy-haul customers and carriers.
- Experience dispatching oversized and overweight loads throughout Canada and the United States.
- Knowledge of provincial and state permitting requirements.
- Experience coordinating pilot cars/escort vehicles and specialized routing.
- Experience negotiating rates with carriers and customers.
- Experience in the automotive manufacturing and JIT transportation sector.
- Bilingual skills (English/French or English/Spanish) are an asset.
- Existing customer or carrier relationships within the flatbed and specialized transportation market are strongly preferred.
