Job Description
To provide operational and administrative support to the police service. To provide administrative support to WTPS personnel in the co-ordination and processing of administrative functions. The OAC will assist the WTPS to keep up with the pace of change occurring in discovery and related technology. The OAC plays a crucial role in managing the growing volume of digital evidence being implemented within WTPS. The OAC has a principal responsibility for: processing digital evidence, reviewing digital evidence, assisting the court case management team in their response to discovery requests, and managing various video camera sources, including vehicle and body worn camera videos. In this position, the OAC will help coordinate and manage the WTPS related discovery and in car and Body-Worn Camera (BWC) video protocols and assist with other functions in the Frontline Support Unit.
Responsibilities include but are not limited to:
- Coordinate the retrieval and saving of WTPS related discovery and Body-Worn Camera video for WTPS cases, including:
- Associate all BWC videos with an arrest and if necessary, notify Court Management of videos’ existence.
- Assist with associating any WTPS related discovery sent directly to Crown Attorney through Digital Evidence Management process with an arrest and, if necessary, notify Court Management of the new discovery’s existence.
- Identify cases with missing discovery and BWC videos and coordinate with the WTPS officers to obtain those videos.
- Respond to general office queries and questions regarding WTPS related discovery and BWC policy and protocol.
- Work with IT to problem solve and continue to develop BWC for day-to-day use.
- Monitor significant cases, summarize case details, and prepare briefing reports for use by the Division Commanders.
- Collaborate with other WTPS units on analysis and reporting metrics.
- Perform related tasks and duties as assigned.
Retrieves occurrences from Niche RMS and CPIC, verifying court dates, releases, applicable charges, etc. Communicates with and provides documentation to external parties, i.e., Crown Attorneys, court services personnel.
Enters, updates, or removes all relevant data/information in various databases, including the Canadian Police Information Centre (CPIC) i.e., wanted persons, charges & conditions of release, trial dates, probation & prohibition orders, all properties, and relays accurate information to officers. Creates Niche occurrences and enters reports, tasks, UCR for all CPIC entries. Maintains up-to-date records management system. Validates and purges all CPIC entries and ensure validity of records.
Transcribes the following: video, audio, and written statements from victims, accused persons and witnesses; digital (Dictaphone system) interviews using WAV Player programs; 911 compact discs.
Performs manual and electronic filing of various court/detachment documents and correspondence, e.g., monthly trial list. Maintains a variety of manuals, forms, and schedules, e.g., emergency services, WHMIS, Hazardous Materials, etc.
Assist officers with the compilation of court documents and Crown Briefs.
Assist with signing-in charged persons awaiting trial, convicted criminals as part of their sentences, including acquiring the proper paperwork for file, doing CPIC checks and notifying the respective investigating officers and/or Court Officer of failure to report.
Performs a variety of clerical and administrative duties, e.g. tracking and locating information; acting as commissioner of oaths and swears to affidavits and the authenticity of investigative evidence; composing and preparing correspondences, forms, letters, memoranda, reports, e.g. lost/found property reports, police assistance reports, etc.; gathering data/statistics and disseminating as directed, sending faxes; proofreading documents; transmitting emails; photocopying and distributing documents; making meeting arrangements; maintaining office equipment e.g. fax, photocopier, and arranging for servicing, as required.
Perform other duties, as assigned.
In addition to the Minimum Qualification Requirements, candidates must possess the following:
- High school graduate or equivalent
Preferred Requirements/Skills:
- High level of proficiency in the use of digital management tools and video software programs to manage large amounts of data.
- Proficiency in Microsoft Office and PowerPoint.
- Ability to multitask and work in a fast-paced, team-oriented environment.
- Superior organizational, time-management, and interpersonal skills are essential.
- Excellent written and oral communication skills.
- Strong attention to detail, self-motivator and able to manage multiple assignments.
- Ability to interact with all levels of law enforcement policing partners, external organizations, and community members.
- Ability to follow directions and apply policies, procedures, and guidelines.
- Ability to plan and prioritize operational & administrative work on a daily basis.
- Oral communication skills to clarify the nature of requests from callers, relay messages, and respond to enquiries by providing detailed information, in person and by telephone to agencies, companies, court and legal personnel, police services, and the public.
- Knowledge of records management practices to maintain an organized, and up-to-date record system.
- Written communication skills to input accurate information, compose correspondence, proof read a variety of documents, compile reports, and summarize information.
- Ability to work with minimal supervision in performing clerical and administrative support duties. Supervision is available for the more difficult decisions and questions.
- Ability to problem solve to provide assistance in fast paced or emergency environment.
- Ability to select appropriate formats/design for office documents and make editing/proof reading changes to documents, reports, letters, and memorandum.
- Ability to handle confidential information and exercise discretion, tact and diplomacy when responding to enquiries.
