We are seeking an experienced Senior Dental Receptionist / Dental Office Manager to oversee the day-to-day administrative and operational functions of the practice. This role is responsible for ensuring efficient office operations, supporting practice growth, leading the administrative team, and maintaining the highest standards of patient service, financial management, and regulatory compliance.

Position Summary
The Senior Dental Receptionist / Dental Office Manager is responsible for overseeing the daily operations of the practice, including scheduling, patient administration, financial coordination, staff leadership, operational performance, and compliance. Working closely with the dentist/practice owner, this individual serves as the operational leader of the practice and plays a key role in supporting an efficient, productive, and patient-focused environment.
Key Responsibilities Operations & Office Management
- Oversee daily administrative operations including scheduling, billing, insurance processing, and patient records.
- Ensure efficient office flow and a professional, patient-centred environment.
- Optimize patient scheduling to maximize productivity and patient satisfaction.
- Monitor office supplies, inventory, vendor relationships, and invoicing.
- Manage administrative systems and office procedures.
- Handle escalated patient concerns professionally and confidentially.
Team Leadership & Staff Management
- Supervise, mentor, and support front desk staff, hygienists, and administrative team members.
- Coordinate staff schedules, vacation requests, and daily coverage.
- Assist with recruitment, onboarding, and training.
- Conduct performance reviews and provide ongoing coaching.
- Foster a professional, accountable, collaborative workplace culture.
Patient Experience
- Oversee patient check-in and check-out processes.
- Ensure patient records are accurate, complete, and confidential.
- Monitor patient feedback and identify opportunities for continuous improvement.
- Support patient retention, recall systems, and treatment acceptance.
Financial Management
- Oversee patient billing, insurance claims, accounts receivable, collections, and payment processing.
- Review end-of-day reconciliation and financial reports.
- Monitor key performance indicators (KPIs), revenue, collections, and operational metrics.
- Review practice performance with the dentist/practice owner.
- Assist with payroll coordination and verification.
Invisalign Coordination
- Coordinate Invisalign administrative workflows.
- Track Invisalign cases, patient payments, and financial arrangements.
- Ensure accurate documentation and case progression.

Regulatory Compliance
- Ensure compliance with applicable privacy legislation, occupational health and safety requirements, IPAC standards, and dental regulatory requirements.
- Maintain accurate records for audits, inspections, and licensing.
- Monitor changes to dental regulations and office policies.
Practice Growth
- Support patient retention initiatives and new patient acquisition.
- Collaborate with the dentist/practice owner on internal marketing initiatives and practice development.
- Monitor recall effectiveness, new patient metrics, and operational performance.
Qualifications & RequirementsRequired
- Minimum 5 years of dental administration or dental reception experience.
- Minimum 2 years of leadership, supervisory, or dental office management experience.
- Advanced working knowledge of Abeldent (Required).
- Strong knowledge of dental insurance, treatment coordination, billing, accounts receivable, and collections.
- Experience coordinating Invisalign cases and financial arrangements.
- Excellent organizational, communication, and problem-solving skills.
- Ability to prioritize multiple responsibilities in a fast-paced dental practice.
- Professional, dependable, and detail-oriented.
Preferred
- Experience managing a busy multi-provider dental practice.
- Experience with KPI reporting and practice performance analysis.
- Knowledge of Ontario dental regulations and compliance requirements.
