Position Summary:
- The Canadian Mental Health Association, Simcoe County Branch seeks a Accounts Payable Clerk, who, in accordance with the agency’s policies, standards, and guidelines, is responsible for ensuring the accurate, timely, and compliant processing of accounts payable transactions and supporting the organization’s overall financial operations. This role reviews and codes invoices, prepares payments, maintains vendor records, reconciles accounts, and supports banking, reporting, and audit activities in accordance with financial controls and policies. Working closely with the Finance Team Lead, Director, and broader finance team, the Accounts Payable Clerk provides administrative and bookkeeping support, maintains confidential financial records, assists with backup functions as required, and contributes to efficient, well‑organized, and audit‑ready financial services across the organization.
What You'll Do:
- Process accounts payable transactions accurately and in a timely manner, including reviewing invoices, verifying approvals, coding expenses, and entering data into the accounting system.
- Prepare cheques and electronic payments for signature and distribution in accordance with organizational financial controls and payment schedules.
- Maintain accurate and up‑to‑date vendor files, ensuring proper documentation, payment terms, and compliance with policies.
- Reconcile accounts payable sub‑ledgers to the General Ledger, identify discrepancies, and follow up on outstanding items.
- Assist with banking and cash management tasks, including deposits and supporting cash flow tracking as required.
- Back up the Bookkeeper and other finance staff by assisting with accounts receivable tasks, journal entries, and general bookkeeping functions, as assigned.
- Back up the Housing Specialist by processing monthly rent supplement payments as required.
- Process incoming mail related to finance, including opening, date‑stamping, and routing invoices and financial documents to appropriate staff.
- Provide administrative support to the Finance Team Lead and Director, including filing, record maintenance, and preparation of finance‑related documentation.
- Establish, maintain, and improve financial filing systems and procedures to ensure accurate recordkeeping and audit readiness.
- Assist in the preparation of monthly financial and statistical reports by gathering and summarizing accounts payable data.
- Support preparation for the annual audit, Ministry reporting, and other financial reports by compiling documentation and responding to audit requests.
- Compose, edit, and prepare finance‑related correspondence and reports, many of which are confidential in nature.
- Maintain strict confidentiality and integrity of financial records and all related agency documentation.
- Comply with all organizational policies, financial controls, standards, and procedures.
- Participate in finance‑related staff meetings, training, and audits, contributing to the continuous improvement of financial processes.
- Work collaboratively with management and staff to support the efficient and accurate delivery of financial services across the organization.
- Assist with the training and mentoring of students, new staff, or volunteers related to accounts payable processes, as required.
- Perform other finance‑related duties as assigned by the Finance Team Lead, Director, or organizational leadership.
Required Qualifications:
- 1 - 3 years in an accounts payable, bookkeeping, or finance support role, preferably within a not‑for‑profit, mental health, healthcare, housing, or social services environment.
- Diploma and/or Degree in Accounting, Bookkeeping, Finance, Business Administration, or a related field.
- Must have a reliable source of transportation.
- Submission of a Vulnerable Sector Check (VSC), including a Criminal Record Check (CRC).
- Fluency in French or another second language would be an asset.
- Legally entitled to work in Canada.
Salary Scale:
- AP Clerk: $50,200 - $57,100 *per annum
Hours of Work:
- Thirty-five (35) hours per week, Monday to Friday
- Able to work on-site within a flexible framework to respond to program needs.
