Position Summary
The Accounting Clerk is responsible for supporting the Finance department by performing a variety of accounting and administrative duties. This role assists with month-end activities, maintains financial records, supports accounts payable functions, and provides cross-functional support to ensure the efficient operation of the Finance department. The successful candidate is detail-oriented, organized, and capable of managing multiple priorities in a fast-paced environment.
Key Responsibilities
General Accounting

Maintain and update the fixed asset register, including additions, disposals, transfers, and depreciation support.

Manage and reconcile prepaid expense accounts, ensuring accurate amortization and month-end adjustments.

Perform ad hoc general ledger account analyses and reconciliations (e.g., freight expense analysis).

Assist with the preparation of journal entries and month-end account reconciliations.

Support inventory reconciliations and inventory-related financial analyses.

Participate in the year-end audit by preparing schedules, supporting documentation, and responding to auditor requests.
Accounts Payable

Process accounts payable invoices related to freight and other assigned vendors.

Reconcile vendor statements and investigate discrepancies to ensure timely resolution.

Provide vacation coverage for Accounts Payable responsibilities as required.
Expense Reports

Review and approve employee expense reports for compliance with company policies.

Validate coding, approvals, and supporting documentation before processing.

Prepare expense reports for export and account reclassification when required.

Provide assistance and guidance to employees regarding expense report submissions and system-related questions.
Credit and RMA Administration

Process Return Merchandise Authorization (RMA) credit approvals in accordance with company policies.

Reverse RMAs upon approved requests and ensure accurate accounting records.
Administrative & Cross-Functional Support

Provide accounting and administrative support to various departments for ad hoc requests.

Provide vacation coverage for the Deposits Clerk and Front Desk functions.

Perform front desk reception duties on a scheduled weekly rotation, including greeting visitors, answering incoming calls, and handling general administrative tasks.
Qualifications
-
Diploma or Certificate in Accounting, Finance, or a related field.

Minimum 2 years of accounting or bookkeeping experience.

Experience with accounts payable, general ledger reconciliations, and month-end activities.

Strong knowledge of Microsoft Excel and Microsoft Office.

Experience with ERP/accounting software is considered an asset.

Bilingual (English/French) is considered an asset.
