Overview
We are seeking a dynamic and organized Administrative Assistant/Receptionist to join our team! This vital role offers an exciting opportunity to be the welcoming face of our organization while providing essential administrative support. Under the direction of the CFO, the Administrative Assistant/Receptionist will perform administrative tasks including filing, data entry, answering phones, greeting visitors, and carrying out other job duties as required.
Duties
- Answer phones and direct incoming mail and packages
- Greet customers and visitors
- Maintain office supplies inventory
- Maintain document control procedures and maintain all file systems
- Enter production data and maintain project files
- Take minutes of meetings as required
- Assist Quality and HSE departments with log entries and file management
- Assist with the development of standard forms, technical documents, and general formatting of company documents
- Assist with preparation of shipping documents and arranging couriers
- Assist with preparation of purchase orders and invoices, and data entry of timesheets
- Assist with inventory control, including data entry and reporting
- Make travel arrangements for all staff
- Assist with planning company functions and events
- Update company website and prepare reporting on website traffic
- Update social media platforms with management input of content.
- Work in conjunction with the Quality department to promote compliance with API/ISO 9001:2015
- Work in conjunction with the HSE and HR departments to promote a safe working environment and feedback on training needs both internally and externally
Education & Experience Requirements
- High School
- Administrative Professional Certificate or equivalent, preferred, but not required
- Advanced Microsoft Excel, Word, Outlook, and PowerPoint skills
- SharePoint & Co-Pilot skills preferred
- WHMIS

Pay: $18.00-$24.00 per hour
Expected hours: 40.0 per week
