Prime Yacht Systems is a premier provider of high-performance marine electrical, power distribution, and navigation systems. From complex lithium battery banks to state-of-the-art helm navigation electronics, we keep vessel owners safe, connected, and powered on the water. We are opening a brand-new showroom in Sidney and are looking for an organized, proactive Operations & Showroom Manager to lead our front-of-house operations, client relations, parts logistics, and online store fulfillment.
The Role
You will be the operational backbone of Prime Yacht Systems. This multi-faceted role combines high-end customer service, project kitting, inventory management, e-commerce fulfillment, and financial administration using Google Workspace and QuickBooks.
Key Responsibilities
Showroom & Customer Experience
- Warmly greet walk-in clients, boat owners, and captains in our brand-new showroom.
- Field incoming phone calls and email inquiries with prompt, professional communication.
- Maintain a clean, professional, and welcoming showroom environment.
Project Kitting & Parts Inventory
- Source, order, and track specialized marine electrical parts and electronics.
- "Kit" project packages—assembling all necessary parts, wiring, and components—for technicians prior to installation jobs.
- Maintain accurate inventory levels, conduct audits, and process vendor returns/warranties.
E-Commerce Fulfillment & Shipping Logistics
- Manage, process, and pack online orders from our web store accurately and efficiently.
- Prepare shipments, print labels, handle customs documentation for cross-border orders, and manage daily carrier pickups (Canada Post, UPS, Freight).
- Safely pack delicate marine electronics and adhere to transport guidelines for specialized components.
Invoicing & Office Operations (Google Workspace & QuickBooks)
- Issue customer estimates, process final project invoices, and follow up on accounts receivable using QuickBooks.
- Manage daily schedules, digital records, and team collaboration using Google Workspace (Gmail, Drive, Docs, Sheets, Calendar).
- Support overall day-to-day business operations and trade scheduling.
Qualifications
- 3+ years in office management, service coordination, inventory control, or high-end retail operations (marine or skilled trades experience is a strong asset).
- Proficiency with QuickBooks (invoicing, estimates, payments) and Google Workspace (Docs, Sheets, Drive).
- Experience with e-commerce order processing and shipping software (e.g., Shopify, ShipStation, Canada Post/UPS portals).
- Exceptional organizational skills with a strong eye for detail when handling multi-part technical orders.
- Strong written and verbal communication skills; comfortable dealing with high-net-worth clients and marine vendors.
- Ability to lift up to 40 lbs for receiving, kitting, and packing orders.
Pay: $31.00-$36.00 per hour
Expected hours: 40.0 per week
