The department of Division Monitoring at Edmonton Catholic Schools is seeking an Access and Privacy Coordinator to join their team ! Successful candidate will provide support in the administration of access to information requests and privacy compliance activities in accordance with applicable legislation. Working under the direction of the Manager, Student Records and Information Management, this position provides direct operational support for the Access and Privacy Specialist in processing access to information requests, supporting privacy compliance activities, maintaining program documentation, and providing guidance and training to Division staff. This position contributes to the Division’s commitment to protecting personal information, ensuring legislative compliance, and promoting transparency and accountability.
RESPONSIBILITIES
Support Access to Information and Privacy Compliance

Coordinate and support the processing of formal and informal access to information requests, including retrieving responsive records, estimating fees, collecting fees, and preparing records for disclosure in accordance with legislation;

Maintain accurate records and tracking systems for all access to information requests, including timelines, consultations, and reporting requirements;

Conduct preliminary reviews of records and identify potential privacy, confidentiality, or disclosure concerns for further review by the Access and Privacy Specialist;

Assist in responding to privacy breaches and complaints, including documentation, tracking, and follow-up activities;
-
Provide research support by reviewing legislation, Office of the Information and Privacy Commissioner of Alberta (OIPC) orders, and best practices to help support and inform responses and recommendations;

Provide direct operational support to the Access and Privacy Specialist, including coordinating workflow, documentation, and file management activities to support service continuity during absences.
Support Privacy Compliance and Framework

Assist in the development, maintenance, and implementation of privacy procedures and standards;

Support the development of tools and documentation, including Privacy Impact Assessments (PIAs), and Risk assessments;

Assist in monitoring compliance activities, identifying procedural issues, and recommending improvements to support consistent application of access and privacy practices across the Division;

Participate in privacy breach response activities through documentation, coordination, follow-up, and records management, escalating complex matters to the Access and Privacy Specialist.
Facilitate Communication and Consultation

Provide first-level guidance and procedural support to Division staff regarding access to information processes and privacy requirements;

Assist in developing and delivering communication, training programs, presentations, and resource materials to support consistent application of access and privacy practices across the Division;

Support updates to internal and external resources, including SharePoint and Division website content;

Assist in responding to general inquiries from staff and the public regarding access and privacy matters.
QUALIFICATIONS
-
Diploma in Public Administration, Information Management, Business Administration, or a related field. A degree may be considered an asset.;

3 years of related experience in privacy, access to information, records management, compliance, or a related field;

Working knowledge of the Protection of Privacy Act (POPA), and the Access to Information Act (ATIA);
-
Understanding of the Alberta Student Record Regulation and the Alberta Education Act;
-
Working knowledge of privacy management frameworks, information governance principles, records management practices, and legislative compliance requirements;

Understanding of digital student records systems (PASI and PowerSchool);
-
Understanding of project management principles;
-
Understanding of presentation development and delivery techniques;

General knowledge of the Division’s operations and business and general understanding of the Division’s mission and vision in a faith-based environment;

Knowledge of workplace safety and awareness of Occupational Health and Safety regulations;

Knowledge and alignment with the Division's administrative procedures.
