The role is primarily responsible for health information management assistance, records support, privacy-conscious documentation processes, and administrative support for the clinic. The role may also include crossover clinic office administration duties as required to support patient flow, reception, scheduling, and daily clinic operations.
Job duties include but not limited to:
- Create, update, organize, and maintain patient charts in the electronic medical record and/or paper record system.
- Verify patient identity, demographic information, referral details, and required documentation for accuracy and completeness.
- Scan, upload, file, label, and index clinical and administrative documents into the correct patient chart.
- Prepare charts and documentation for upcoming clinic days, including visit-related forms, requisitions, referrals, and summaries as directed.
- Assist with chart audits, document retrieval, record requests, and internal quality checks as directed by the Employer or designated supervisor.
- Maintain organized filing systems and assist with secure archiving, storage, and retention of records in accordance with clinic policy.
- Shred or securely dispose of confidential documents only in accordance with clinic policy and The Health Information Protection Act (HIPA).
Clinic cross-cover duties include but not limited to:
- Greet patients and visitors professionally in person and by telephone.
- Check patients in and out, provide forms or directions, and collect consent forms, intake questionnaires, and other required paperwork.
- Book, reschedule, and cancel appointments in accordance with clinic policy and provider direction.
- Support waiting room flow and communicate delays or patient-flow concerns to the appropriate team member.
- Answer incoming calls, take messages, route calls, and respond to basic inquiries such as hours, location, preparation instructions, and administrative requirements.
- Confirm appointments and send standard clinic communications by phone, text, email, or other approved methods.
