The First Peoples Wellness Circle (FPWC) is an Indigenous-led national not-for-profit dedicated to enhancing the lives of Canada’s First Peoples by addressing healing, wellness, and mental wellness barriers. The organization’s purpose is to walk with and support First Peoples and communities to share collective intelligence for healing, peace-making, and living a good life. FPWC’s approach is centred on promoting wellness pathways based on traditional knowledge and culture that supports healing and wellness and fosters a two-eyed seeing approach. FPWC envisions a nation where our First Peoples experience wholistic health and wellness by championing diverse cultural values, beliefs, and practices.
FPWC’s new strategic plan encompasses four main objectives: Growth, The Framework, Relationships, and Collective Intelligence. Through these objectives, we seek to build relationships with Indigenous and non-Indigenous organizations and build workforce capacity by sharing collective intelligence and implementing the First Nations Mental Wellness Continuum Framework. The FPWC works diligently to advocate for transformative change, aiming to create wellness and whole health pathways for Canada’s First Peoples shaped by diverse Indigenous cultural lenses and knowledge.
We are currently seeking a qualified candidate for the position of Finance and Administrative Support. This is a two (2) year part-time (25 hours per week), fully remote position from July 2026 to July 2028. Our head office is located in North Bay, Ontario and individuals from Ontario may be given preference.
Under the direction and supervision of the First Peoples Wellness Circle (FPWC) Finance Manager, the Finance and Administrative Support professional plays a critical role in ensuring financial integrity, accurate reporting, and transactional efficiency for the Healing Our Spirit Worldwide 10 event and other FPWC initiatives. Reporting to the Finance Manager, this role combines transactional finance duties with records management and administrative support, essential for accurate financial tracking from planning through event delivery and project closeout.
Main responsibilities:
Financial Operations
- Process and manage invoices, accounts receivable, and accounts payable
- Prepare and support batch payments and ensure documentation is accurate and complete
- Track deposits, revenue received, and payments issued
- Assist with monthly reconciliation and financial reporting
- Maintain contract payment schedules and monitor remaining balances
- Support month-end close activities including reconciliation and variance analysis
- Ensure financial documentation meets governance, audit, and reporting standards
Administrative & Records Management
- Maintain organized digital records for contracts, invoices, receipts, and correspondence
- Support scheduling and tracking of finance-related milestones
- Assist with internal reporting and documentation workflows
- Provide administrative coordination for finance team activities
Collaboration & Communication
- Liaise with vendors, partners, and internal teams regarding invoice and payment status
- Support effective communication of financial updates to the Financial Controller
- Work collaboratively in a culturally respectful environment
What you will need to be successful:
- Experience in finance administration, bookkeeping, or related support roles
- Proficiency in Microsoft Excel (including spreadsheets, formulas, reconciliations)
- Strong organizational and record-keeping skills
- Experience working to deadlines, managing priorities, and supporting team requirements
- Excellent written and verbal communication skills
- Experience supporting project-based financial tracking
- Experience with Indigenous-led organizations or community-based initiatives
- Understanding of Indigenous cultural protocols and values
- Attention to detail with strong analytical skills
- Initiative and accountability in a dynamic work environment
- Collaborative approach with a commitment to respectful engagement
- Comfortable working both independently and as part of a team
- Adherence to privacy, confidentiality, and financial governance best practices
Qualifications
- Bachelor's Degree or College Diploma in business administration, finance, commerce or closely related field.
- One to three (1-3) years experience in office administration, bookkeeping or financial support required.
- Experience working with Indigenous/First Nation communities and Non-Profit setting is considered an asset.
- Experience with financial management tools of Xero and Hubdoc considered a definite asset.
