Sauna Depot is a growing manufacturer and retailer of premium outdoor saunas, sheds, gazebos, and backyard wellness products across North America. We are seeking a highly organized and customer-focused Logistics & Customer Service Coordinator to help manage our installation schedules, customer communications, and order fulfillment process.
This role is ideal for someone who enjoys working with customers, coordinating projects, solving problems, and ensuring a smooth experience from purchase to installation.
Job Summary
The Logistics & Customer Service Coordinator will serve as the primary point of contact for customers after a sale has been completed. The successful candidate will coordinate sauna deliveries and installations, communicate with customers and installers, track project progress, and ensure all orders are completed efficiently and professionally.
Key ResponsibilitiesCustomer Service & Client Communication
- Serve as the primary point of contact for customers regarding deliveries, installations, and order updates.
- Answer customer inquiries by phone, email, and text message.
- Provide accurate timelines and status updates throughout the order process.
- Resolve customer concerns professionally and efficiently.
- Follow up with customers before and after installations to ensure satisfaction.
Installation Coordination
- Schedule sauna, shed, and gazebo installations with customers and installation teams.
- Coordinate installation dates based on crew availability and delivery schedules.
- Ensure all required materials and products are available prior to installation.
- Communicate scheduling updates and changes to customers and installers.
- Monitor project progress and assist in resolving scheduling conflicts.
Logistics & Operations
- Coordinate product deliveries and transportation arrangements.
- Track shipments and ensure products arrive on schedule.
- Work closely with warehouse staff and installers to maintain efficient operations.
- Assist with inventory tracking and order management.
- Maintain accurate records of deliveries, installations, and customer communications.
Administrative Duties
- Update customer records and project information in company systems.
- Prepare schedules, reports, and operational documentation.
- Assist management with operational planning and workflow improvements.
- Support the sales team with post-sale customer coordination.
Qualifications
- Previous experience in customer service, logistics, dispatching, project coordination, or office administration.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Ability to remain calm and professional when handling customer concerns.
- Proficiency with Microsoft Office, Google Workspace, and CRM systems.
- Strong attention to detail and problem-solving skills.
- Experience coordinating service appointments or installation crews is considered an asset.
