Overview

We are looking for a reliable, organized, and detail-oriented Part-Time Operations & Order Coordinator to help keep our day-to-day operations running smoothly.

This is a hands-on coordination role working closely with customers, vendors, warehouse staff, and our sales team. The position is responsible for coordinating purchases and orders, following up with vendors, organizing job information, processing customer payments, and ensuring materials and products are received accurately and available when needed.

The ideal candidate is someone who is proactive, organized, dependable, and enjoys keeping things moving behind the scenes.

Key Responsibilities

Coordinate the purchasing and ordering of materials, products, and supplies.
Follow up with vendors regarding orders, shipments, delivery dates, back orders, and product availability.
Work closely with warehouse staff to verify incoming orders, quantities, products, and materials.
Communicate with customers by phone and email regarding orders, payments, deliveries, and other follow-up items.
Organize and maintain job files, purchase orders, invoices, and related documentation.
Take and process customer payments and maintain accurate records.
Mix and prepare paint when required.
Coordinate information and materials between customers, vendors, warehouse staff, and the sales team.
Provide basic sales coverage when required, including covering lunch and vacation breaks for sales staff and assisting customers with their needs during these periods.
Monitor outstanding orders and ensure follow-ups are completed in a timely manner.
Identify and communicate discrepancies, shortages, damaged products, or incorrect shipments.
Assist with inventory organization and monitoring of commonly used products and supplies.
Ensure materials are ordered and received in a timely manner to support customer jobs.
Provide general administrative and operational support as required.

Qualifications & Skills

Strong organizational skills and excellent attention to detail.
Excellent communication and follow-up skills.
Comfortable communicating with customers, vendors, and coworkers by phone and email.
Able to manage multiple orders, tasks, and priorities at the same time.
Reliable, dependable, and able to work independently.
Comfortable working in a fast-paced, hands-on environment.
Basic computer skills and familiarity with email and office software.
Previous experience in purchasing, administration, customer service, order coordination, or operations is an asset.
Experience with paint, coatings, construction materials, or a related industry is an asset but not required.
Previous sales or retail experience is an asset, but sales is not the primary focus of this position.
