The Opportunity
This is a specialized, results-oriented talent matching and job placement position. The Specialist owns the connection between employer demand and AUE’s employment-ready talent pool, moving opportunities into strong referrals, interviews, hires and early retention outcomes.
Working closely with Industry and Employment colleagues, the successful candidate will manage active opportunities, understand employers’ real requirements, identify and screen suitable candidates, coordinate high-quality referrals, support interview progression and maintain disciplined follow-through until an outcome is known.
The right person combines the urgency and judgment of a recruiter, the relationship skills of an employer partner and the mission-driven perspective needed to remove barriers for newcomer talent.
Key Responsibilities
1. Active job opportunities and placement pipelines
- Take ownership of active vacancies from intake through referral, interview, offer, hire and early follow-up.
- Clarify each employer’s essential requirements, preferred qualifications, timelines, workplace context and decision process.
- Establish a clear next action, owner and deadline for every active opportunity in HubSpot.
- Maintain momentum through timely employer and candidate follow-up, including when an opportunity stalls or requirements change.
- Escalate risks early and coordinate solutions before an employer or candidate opportunity is lost.
2. Talent-pool ownership and candidate matching
- Develop a current, working knowledge of AUE’s employment-ready candidates, including skills, experience, occupational goals, work authorization, location, transportation, availability and mobility.
- Collaborate with the Employment team to regularly review and assess new candidates as they complete each cohort, and provide the Industry team with timely updates on their skills, experience and employment readiness.
- Identify candidates whose transferable skills match employer needs, not only candidates with identical previous job titles.
- Conduct focused screening to confirm interest, readiness, qualifications and practical fit before referral.
- Coordinate targeted talent searches and outreach when the existing pool does not meet employer demand.
- Identify recurring talent gaps and communicate them to Employment, Industry, Marketing and program leadership.
3. High-quality referrals and interview progression
- Prepare concise, employer-relevant candidate profiles that clearly communicate fit and transferable value.
- Coordinate timely résumé tailoring, application support and interview preparation with AUE’s Employment team.
- Coordinate with the Industry team and submit qualified candidates within agreed deadlines, setting clear expectations with both employers and candidates.
- Track feedback, interviews, offers and outcomes; use employer feedback to improve future matching.
- Provide candidates with respectful closure and practical next steps when they are not selected.
4. Employer talent solutions
- Act as a responsive, credible talent partner who makes it easier for employers to recruit through AUE.
- Ask focused questions to understand which qualifications are essential for successful and safe performance and which are preferred, so AUE can identify strong candidates without making assumptions or inappropriate referrals.
- Surface practical barriers related to wages, schedules, licensing, transportation, housing or onboarding, and connect employers with AUE’s workplace integration and retention supports available through Industry services.
- Respect that all hiring decisions remain with the employer while providing clear, evidence-based talent recommendations and connecting employers to appropriate AUE services.
- Protect employer trust through prompt communication, realistic commitments and consistent follow-through.
5. Systems, intelligence and continuous improvement
- Maintain complete, current and decision-useful records in HubSpot; documentation is part of completing the work, not an optional administrative step.
- Monitor pipeline movement, deadlines, conversion rates and unresolved opportunities.
- Analyze patterns in referrals, interviews, hires and employer feedback to improve matching quality.
- Contribute to simple, scalable processes for job intake, candidate screening, referral, handover and follow-up.
- Share workforce intelligence that can strengthen employer outreach, participant preparation and program design.
How the role fits
The Talent Placement Specialist works across AUE’s Employment and Industry teams. Industry colleagues develop employer, connector and sector relationships and identify workforce opportunities. Employment colleagues prepare and coach candidates. The Talent Placement Specialist brings these efforts together by managing the placement pipeline, matching employment-ready candidates with opportunities, coordinating referrals and interviews, and maintaining follow-through through hiring and early retention.
What success looks like
Success will be assessed through both outcomes and service quality. Initial targets will be confirmed based on the active pipeline, funding requirements and team capacity.
- Employer opportunities receive a timely, clear response and an agreed next step.
- Qualified candidates are referred by the employer’s deadline, with a strong rationale for fit.
- Referral-to-interview and interview-to-hire conversion improves over time.
- More newcomers secure appropriate employment, with early retention signals tracked where feasible.
- Active opportunities, follow-ups and outcomes are current and visible in HubSpot.
- Employers report confidence in the quality, responsiveness and professionalism of AUE’s talent service.
- Industry colleagues spend more time developing strategic employer relationships and less time reconstructing or chasing placement activity.
What You Bring
Required qualifications and experience
- Post-secondary education in human resources, business, employment services, social sciences or a related field, or an equivalent combination of education and relevant experience.
- Demonstrated experience in recruitment, talent acquisition, staffing, job development, employer services, workforce development or a closely related results-oriented role.
- Experience assessing candidates against job requirements and making sound, evidence-based matching decisions.
- Demonstrated success managing multiple active opportunities, stakeholders and deadlines with limited supervision.
- Strong written and verbal communication, including the ability to present candidate value clearly and credibly to employers.
- Experience using a CRM, applicant tracking system or comparable case/pipeline management platform; strong documentation discipline is essential.
- Comfort using digital tools to manage work and communicate clearly. AUE uses HubSpot for relationship and pipeline management, Asana for tasks and projects, and Slack for internal communication. Direct experience is an asset; strong technological confidence and a demonstrated openness to learning are essential.
- Knowledge of newcomer employment barriers and a demonstrated commitment to equitable, inclusive employment practices.
- Ability to work in Canada and meet the regular local and occasional regional travel requirements of the role.

Strong assets
- Experience in agency recruitment, corporate talent acquisition or consultative staffing.
- Employer network or labour-market knowledge in Newfoundland and Labrador.
- Experience with HubSpot and data-informed pipeline management.
- Knowledge of immigration-related work authorization, regulated occupations, NOC/TEER classifications or rural workforce barriers.
- Additional languages and/or lived experience relevant to newcomer workforce integration.
Working conditions
- Full-time position based in St. John’s, serving employers and candidates across Newfoundland and Labrador.
- Hybrid work may be available in accordance with organizational policy and operational requirements.
- Regular employer, candidate and team meetings; occasional evening, regional or event-based work may be required with advance planning.
- This role requires regular travel to employer sites, meetings and community locations that may not be accessible by public transit. A valid driver’s licence and regular access to a reliable vehicle are required. Accommodation is available in accordance with applicable human rights legislation.
