SUMMARY:
The Sales and Events Coordinator is an integral member of the Sales and Events team, providing proactive administrative, sales and event coordination support. This position serves as a key point of connection between clients, Sales, Events and hotel operational departments, helping ensure that business is accurately recorded, effectively communicated and successfully transitioned from the sales process through event execution. The ideal candidate is proactive, responsive and able to prioritize multiple deadlines while maintaining Marriott service standards and positive working relationships with clients, associates and operational partners. They will be highly organized, detail-oriented, and possess excellent communication skills.
RESPONSIBILITIES:
This position involves a variety of duties which include but are not limited to:
- Answer incoming telephone calls, qualify inquiries, and direct them to the appropriate Sales contact.
- Capture and manage online leads received through third-party sales lead generation platforms and distribute them promptly to the appropriate Sales contact.
- Manage Sales Office communications efficiently, ensuring all correspondence is clear, concise, timely, and professional.
- Assist the Sales and Events Team with the preparation of proposals, contracts, Banquet Event Orders (BEOs), and other sales and event-related documentation.
- Manage group room blocks, associated traces, deadlines, and required follow-up.
- Ensure client, group, and event details are accurately maintained and updated across applicable hotel systems.
- Liaise with Tour Directors to finalize and coordinate operational details for Tour Group arrivals, including the preparation of Tour Resumes and Tour Banquet Event Orders (BEOs).
- Prepare Group Resumes and coordinate and lead weekly Group Resume Meetings.
- Liaise and communicate effectively with hotel operational departments to ensure group and event requirements are accurately communicated and coordinated.
- Coordinate the collection, organization, and filing of required pre- and post-event reports and supporting documentation.
- Prepare and distribute required daily, weekly, and monthly Sales and Events reports.
- Conduct client site inspections and provide additional Sales and Events support as required.
- Support the coordination of Sales and Marketing activities in preparation for tradeshows, sales missions, client events, and other business development initiatives.
- Develop proficiency in and support applicable internal systems, including completing Subject Matter Expert training for CI/TY.
- Assist with the day-to-day administration, organization, and effective operation of the Sales Office.
- Develop and maintain positive, collaborative working relationships with colleagues and respond professionally and constructively to associate questions and concerns.
- Undertake assigned projects and provide support to the Director of Sales, Sales Managers, and Event Managers based on departmental priorities and business needs.
- Perform other duties and responsibilities as assigned by the Director of Sales.
QUALIFICATIONS:
- Degree or diploma in Hospitality Management, Business Administration, Event Management or a related discipline is considered an asset.
- Previous experience in hotel Sales, Events, Catering, Reservations, Front Office or a related hospitality role is preferred.
- Knowledge and proficiency in Hotel Sales Systems specifically CI/TY, CRM Platforms, and Microsoft Office applications are considered an asset.
- Excellent written and verbal communication skills with strong interpersonal skills.
