Who You Are
At SafeStart, the Implementation Scheduling Coordinator plays an integral role in contributing to successful implementation projects for our clients by ensuring that every consultant engagement is planned, confirmed, and executed with precision. We are currently searching for a collaborative, service-oriented professional to join an existing team of highly skilled individuals to support us in our mission. The ideal candidate will bring strong organizational skills and exceptional attention to detail along with the ability to clearly and professionally communicate with internal and external stakeholders. They will maintain the operational integrity of our scheduling function, including scheduling accuracy, consultant fit, and booking confirmation timelines with consistency, care, and operational discipline.
The Implementation Scheduling Coordinator is responsible for ensuring that every client implementation is set up for success from day one by matching the right consultant to the right engagement, managing booking logistics across multiple platforms, and maintaining the accuracy and timeliness of scheduling data in our internal systems.
The successful candidate may also want to invest in a cape since we measure our success by the number of lives saved—it’s very empowering.
A Day in the Life of an Implementation Scheduling Coordinator
- Receive and process new consultant delivery/scheduling requests, maintain case ownership and provide status updates throughout the booking lifecycle
- Coordinate consultant availability, confirming scheduling fit against client needs, geography, and consultant preferences
- Track and enforce booking confirmation windows
- Execute a structured weekly follow-up cadence across all active consultant engagement cases
- Coordinate with Client Managers to drive timely confirmation of offered dates, flagging at-risk cases before cancellation thresholds are reached
- Manage rescheduling workflows, including date returns, re-offers, and escalate when patterns or policy thresholds are reached
- Maintain the Consultant Referral Spreadsheet and associated tracking tools with accurate, up-to-date scheduling data
- Identify inefficiencies and process improvement ideas as learning loop inputs to the DSO team
- General office administration duties
Need to Haves
- Post-secondary diploma or degree
- Experience with CRM platforms (Salesforce preferred) or a demonstrated ability to learn complex software systems quickly
- No-blame approach to problem solving and process improvement within a team environment
- Comfort navigating and improving digital workflows across multiple interconnected platforms
- Demonstrated ability to manage multiple active cases and manage time wisely with tight deadlines
- Excellent written, verbal, and presentation skills
- Outstanding collaboration skills with internal and external stakeholders
- Ability to maintain confidential information
Nice to Haves
- Background in executive assistance, event coordination, logistics, or other scheduling intensive environments
- Experience with resource planning tools (Ganttic, Excel, MS Project, Smartsheet, or similar)
Just the Facts
- Full-time, permanent
- The successful candidate must live close enough to the office to be present for onboarding (first 3 months in-office), in-person meetings or direct support requests
- Hybrid role. After onboarding, minimum 3 days in-office per week (Tues-Thurs)
- Flexible working hours (35-40 hours/week)
