Medispine is looking for a highly organized, warm, and proactive Client & Community Coordinator to lead the systems that help clients feel welcomed, informed, and supported while keeping our clinic operations, client follow-up, and practitioner schedules moving forward.
This is a full-time leadership role for someone who enjoys client service, sales-oriented relationship building, administration, community engagement, and practical problem solving. You will coordinate the client journey from first inquiry through ongoing care, support a strong front-desk experience, guide administrative workflows, and help create meaningful relationships between Medispine and the local community.

What you will do
You will oversee reactivation, recall, cancellation, and follow-up systems so clients receive timely, thoughtful communication and practitioners’ schedules are managed proactively. You will support new and existing client inquiries by phone, email, and approved social-media channels, using clinic systems and scripts and escalating any clinical question to the appropriate practitioner.
You will support and coordinate the administrative-assistant workflow. This includes setting daily priorities, tracking completion of follow-up tasks, identifying avoidable schedule gaps, coaching team members on communication standards, and stepping into reception responsibilities when needed. You will remain comfortable with appointment booking, schedule management, client greeting, accurate recordkeeping, and front-desk service.You will also lead community-facing coordination. You will prepare a monthly clinic newsletter, coordinate events and local partnerships, manage approved social-media comments and direct messages, and make sure communications are clear, timely, and bilingual. You will track what is working, bring forward practical improvements, and provide concise operational updates to clinic leadership.
Schedule, benefits, and work arrangement
This is primarily a clinic-based role. Appropriate administrative and communications work may be completed from home up to two days per week, depending on clinic needs, the schedule, and demonstrated reliability. Community events, local partnership meetings, and outreach activities are completed off-site as part of the normal role and are separate from work-from-home days. The successful candidate must be available for one Saturday front-desk shift per month and one evening reception shift per week, on Monday or Tuesday, to be confirmed.
Vacation pay equivalent to two weeks will be paid on each regular paycheque in accordance with applicable employment standards. Medical benefits are available subject to plan terms and eligibility requirements. Employment is subject to a six-month probationary period.
What we are looking for
You are fully bilingual in French and English and communicate with warmth, confidence, and professionalism in person, by phone, and in writing. You are highly organized, reliable, and comfortable managing several priorities without losing the human touch. You have excellent attention to detail, follow through on commitments, and bring calm, practical leadership to day-to-day clinic operations.
Sales experience, particularly relationship-based, consultative, client-conversion, or business-development work, is strongly preferred. Formal administrative education or training, such as an office administration, business administration, medical administration, or comparable certificate, diploma, or program, is also strongly preferred. Experience in client service, reception, healthcare administration, office coordination, marketing coordination, community engagement, or team leadership is an asset. Experience supervising or coaching administrative staff is an asset. You should be comfortable with scheduling software, email, spreadsheets, social-media platforms, and learning new systems quickly.
We are looking for someone with a genuine interest in health, chiropractic care, natural therapies, and wellness. You do not need to be a clinician. You do need sound judgment and the ability to explain administrative information clearly while leaving clinical advice and treatment recommendations to the practitioner.
Pay: $24.00-$28.00 per hour
