The Opportunity
Jayden’s Mechanical is seeking a highly organized, proactive, and dependable Executive Assistant to provide direct administrative and organizational support to our executive leadership team. This position is ideal for someone who enjoys working in a fast-paced environment, can confidently manage competing priorities, and is comfortable working closely with leadership and various departments across the organization.
The Executive Assistant will play an important role in keeping executive priorities, communication, meetings, and day-to-day administrative needs organized and moving forward. This position will also provide limited administrative support to our commercial bidding team, primarily focused on coordination, documentation, and deadlines.
Key Responsibilities
1. Executive Support & Administration
- Manage executive calendars, appointments, meetings, and schedules.
- Monitor and organize incoming emails, correspondence, and requests.
- Prioritize and coordinate competing requests and deadlines.
- Prepare, format, and organize reports, presentations, correspondence, and other executive documents.
- Coordinate meetings, including scheduling, agendas, meeting materials, minutes, and follow-up items.
- Track action items and follow up to ensure important tasks and commitments are completed.
- Maintain organized and confidential executive files and records.
- Coordinate travel arrangements, appointments, and other executive-related logistics.
- Assist with preparation for leadership meetings and company-wide initiatives.
- Act as a communication point between executive leadership and internal teams when required.
- Assist with confidential and time-sensitive matters with professionalism and discretion.
- Support executive leadership with special projects and administrative initiatives.
- Coordinate and assist with company meetings, events, and organizational initiatives.
- Provide additional administrative support to executive leadership as required.
2. Commercial Bidding Support
- Provide administrative support to the commercial bidding team as needed.
- Organize tender documents, drawings, specifications, and project information.
- Track bidding deadlines and submission requirements.
- Assist with preparing and organizing tender and RFP documentation.
- Coordinate with internal team members to gather required information and documentation.
- Maintain organized records of active and upcoming bidding opportunities.
Qualifications
- 2–5 years of experience in an executive assistant, administrative assistant, office coordinator, or similar role.
- Previous experience supporting senior leadership or executives is considered an asset.
- Previous experience in construction, mechanical contracting, or a related industry is considered an asset.
- Strong organizational and time-management skills with excellent attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Strong proficiency with Microsoft Office and Google Workspace.
- Comfortable handling confidential and sensitive information.
- Professional, approachable, and able to communicate effectively with employees, leadership, clients, and external contacts.
- Ability to work independently while also supporting a collaborative team environment.
- Previous experience with construction bidding, tenders, RFPs, or project documentation is considered an asset, but is not required.

Pay: $60,000.00-$70,000.00 per year
