Fulton is currently seeking a highly organized, proactive, and personable Executive Assistant to join our team. The Executive Assistant plays a vital role in supporting Firm Management by ensuring the smooth coordination of administrative, HR, and operational initiatives. This position requires exceptional organizational skills, sound judgment, and the ability to manage multiple priorities with discretion and professionalism.
POSITION OVERVIEW
- Provide high-level administrative support to the leadership team, helping keep priorities organized and on track
- Manage calendars, coordinate meetings, prepare agendas, and ensure timely follow-up on action items
- Support recruitment activities, including job postings, interview coordination, and onboarding logistics
- Support internal communications to promote clarity and alignment across the firm
- Coordinate travel arrangements and manage expense reporting efficiently and accurately
- Assist with planning and executing internal events such as retreats, staff initiatives, client events, and professional development sessions
- Handle sensitive and confidential information with discretion and sound judgment

WHAT WE ARE LOOKING FOR
- Post-secondary education in Business Administration or a related field
- 3+ years of experience in a similar role (Executive Assistant, Administrative/Operations Coordinator, or HR Assistant)
- Strong organizational and coordination skills, with the ability to manage competing priorities
- Experience with travel coordination, event planning, and invoicing processes
- Strong proficiency in Adobe and Microsoft Office, with experience using MS Teams considered an asset
- Strong interpersonal skills with the ability to build effective working relationships
- Excellent communication skills, both written and verbal
- Proven ability to handle confidential information and support senior leadership
- Strong attention to detail, problem-solving abilities, and sound judgment
- A positive, flexible mindset with the ability to adapt to shifting priorities and evolving tasks

Competitive compensation: The salary range for this role is $48,000 – $65,000 per annum. Within this range, individual pay is determined by market rates, job-related skills, relevant experience, education and/or training, and an internal equity review of the salaries of other employees

HOURS OF WORK
This position is Monday to Friday starting at 8:30 am to 4:30 pm. This is a 7-hour paid day, 35-hour work week. This is an in-office position.
