APM Atlantic Plant Maintenance Canada, Inc. is currently hiring for a Canada Finance & Operations Support Specialist! We are looking for a candidate that is reliable, trainable and has excellent attention to detail.
Position Summary:
The Canada Finance/Operations Support Specialist is responsible for entering accounts payable invoices, entering field and tool center requisitions, monitoring open payables, booking hotels, booking employee training, and supporting the Finance and Operations teams.

Essential Duties and Responsibilities:
To perform this job successfully, an individual must be able to perform each of the duties and responsibilities listed below. Other duties and responsibilities may be assigned.
- Accounts Payable invoice entry in alignment with prescribed guidance. Apply requisite invoices to corresponding PO and / or assure proper delegation of authority and job cost coding is applied upon invoice entry. Monitor entries for approval and post related batches as needed. Mail all vendor cheques and/or EFT remittances. Match all AP payments with invoices and file. Obtain approval for all non-billable invoices. Code office and vendor invoices.
- Manage emails from the GETSCO Accounts Payable inbox. Communicate with vendors and internal departments regarding invoice status, discrepancies, and payment inquiries.
- Reconcile gas cards and CITI cards, maintain digital gas card logs, and perform monthly gas card usage reconciliations using physical records provided.
- Run weekly EFT and cheque payments; mail vendor cheques and distribute EFT remittances. Support union payments by running union cheques, preparing and sending union remittance slips, and generating mock cheques as required.
- Review and research all open POs for payment and billing. Aid with monitoring open PO accrual report and taking the required actions to report on and close out the open items.
- Set up new vendors, complete vendor credit apps, and complete internal vendor forms. Review vendor account statements.
- Book flights and hotels while maintaining a spreadsheet within the workflow process.
- Support month-end and year-end close activities and other projects as requested by the Accounting Manager.
- Support internal and external audits by providing required documentation and responding to auditor inquiries.
- Upon job demobilization, assist with the review of all purchase orders issued, and collect outstanding accounts payable for billing purposes.
- Support coordination of Expense Reports for the APM Canada team.
- Receive, record, and deposit vendor refund cheques in a timely manner. Coordinate with the Finance team to ensure proper allocation of payment.
Education and/or Experience:
The required minimum education and/or experience needed to successfully perform this job includes the following (increased education/experience may substitute for educational/experience requirements):
Required Education
- High School Diploma (or equivalent).
Required Experience/Skills
- Minimum of one (1) year of experience in a professional administrative role (or
- equivalent combination of education and experience).
- Detail oriented with a passion for accuracy and follow-through.
- Capable of prioritizing responsibilities, often under pressure to meet deadlines.
- Good interpersonal and communication skills.
- Proficiency in MS Office Suite (Word, PowerPoint, Excel, TEAMS).
- Customer-focused attitude.
- Strong organizational skills.
- Strong verbal and written communication skills.
- Ability to think critically and identify areas of process improvement.
Preferred Experience/Skills
- Experience in a professional administrative role within an industrial construction or maintenance business, especially union craft labor (or equivalent combination of education and experience).
