Role Summary
Vyvyd Lighting is looking for a Technical Inside Sales & Project Coordinator to support our customers, sales representatives, and active lighting projects.
This is an office-based role focused on quotations, project coordination, customer support, order processing, and project follow-up. It is not a cold-calling or outbound business-development position.
You will play an important role in moving projects from initial enquiry and quotation through approval and order placement.
Key ResponsibilitiesQuotations & Technical Sales Support
- Prepare accurate quotations for commercial and architectural lighting projects.
- Review reflected ceiling plans, luminaire schedules, electrical drawings, specifications, and bills of material.
- Identify fixture quantities, product configurations, drivers, controls, mounting options, and accessories.
- Apply project pricing, discounts, freight, and customer-specific terms.
- Manage quotation revisions, addenda, substitutions, and value-engineering requests.
- Respond to product, pricing, application, availability, and lead-time enquiries.
- Recommend suitable product alternatives when required.
Project & Order Coordination
- Coordinate active projects from quotation through approval and order placement.
- Prepare and organize submittals, cut sheets, IES files, photometric information, shop drawings, and samples.
- Process sales orders and confirm quantities, configurations, pricing, shipping information, and required dates.
- Coordinate lead times, order releases, backorders, and delivery expectations.
- Communicate with purchasing, warehouse, accounting, product, and operations teams to resolve project requirements.
- Assist with warranty, replacement, and RMA coordination when required.
- Maintain organized project and customer records.
CRM & Sales Support
- Maintain accurate quotation, customer, and project information in CRM and ERP systems.
- Follow up on outstanding quotations and update project status, next steps, expected order dates, and customer feedback.
- Support sales representatives with quotation follow-up and project information.
- Prepare basic quotation and project pipeline reports for management.
- Help improve quotation templates, internal documentation, CRM processes, and sales-support workflows.
- Use AI and digital tools to improve research, documentation, reporting, and administrative efficiency.
Customer Support
- Act as an internal point of contact for customers and sales representatives.
- Provide clear and timely communication throughout the quotation and ordering process.
- Follow through on open items and ensure project issues are properly tracked and resolved.
- Build strong working relationships with contractors, designers, distributors, consultants, and project teams.
Required Qualifications
- Minimum 2 years of experience in lighting, electrical products, construction estimating, technical sales, project coordination, or a related industry.
- Experience preparing quotations, estimates, or project pricing.
- Ability to read construction drawings, reflected ceiling plans, schedules, or project specifications.
- Strong attention to detail and numerical accuracy.
- Experience using CRM, ERP, quotation, or order-entry systems.
- Proficiency in Microsoft Excel, Word, Outlook, and PDF software.
- Strong organizational skills and the ability to manage multiple projects and deadlines.
- Clear and professional written and verbal communication skills.
- Ability to work independently, take ownership, and follow tasks through to completion.
Preferred Qualifications
- Previous experience in the architectural or commercial lighting industry.
- Experience with lighting quotations, submittals, or project coordination.
- Familiarity with LED drivers, dimming, lighting controls, emergency lighting, or architectural lighting products.
- Experience with IES files, photometric reports, Dialux, or lighting-layout documentation.
- Experience working with electrical contractors, lighting agents, distributors, architects, or designers.
- Experience using AI tools, automation, or advanced CRM workflows.
