Our Corporate Advisory, Financial and Valuation Services team is currently seeking an Executive Personal Assistant to join the team. This is an incredible opportunity for the right candidate. Responsibilities and Duties:

Organize meetings involving multiple senior executives from both the firm and various other companies
Manage partner calendar to accurately assess availability, including adding events, rescheduling meetings and providing daily briefings
Manage travel arrangements, transportation and accommodation
Accurately record minutes from meetings or calls
Set up, review, and revise Financial Statements (FS) in Jazz-it and CaseView to meet appropriate deadlines
Maintain and update monthly stats and other tracking systems for assemblies and administrative processes
Prepare invoices, manage accounts receivable, follow up and flag outstanding A/R’s
Prepare and/or edit internal and external letters, faxes, memos and mass emails, and reports for meetings
Act as the point of contact among management, employees, clients and other external partners
Respond to client requests and inquiries
Able to drive the partner to various locations (client visits, airport, etc.) when needed
Handle errands as needed
Accurately compile, review and submit expense reports for the partner
Maintain and update client files
Keep important information and documents organized physically and electronically
Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business
Data entry and daily time entry
Other duties as assigned by the partner

Education and Professional Skills/Knowledge:

Minimum 1-3 years experience in a professional administrative capacity
Ability to exercise good judgement, show initiative and be proactive
High standards of ethic and confidentiality to handle sensitive information
Proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems
Ability to conduct research and create reports or presentations
Sound knowledge and understanding of bookkeeping functions would be an asset
High attention to details in all areas of work
Excellent problem-solving skills and an ability to work in a team environment
Exceptional organizational, time management and prioritizing skills
Proven ability to effectively prioritize workflow
Must have good driving record
Must be able to meet deadlines in a fast-paced environment
