Junior Construction Estimator, Scheduler & Office Coordinator

The Recap Group is looking for a sharp, confident and highly organized person to join our busy construction office in Burnaby.
This is not a traditional receptionist position. You will be the first point of contact for clients, trades, field staff and visitors, while also assisting with construction estimates, scheduling, project coordination, bookkeeping and general office administration.
We are looking for someone who learns quickly, thinks logically and is comfortable figuring things out. You should be friendly and approachable, while also having the confidence to ask questions, follow up with people and speak up when information is missing or something does not make sense.
Our office and projects move quickly. The successful candidate must be able to manage interruptions, shifting schedules, urgent requests and multiple deadlines without losing track of important details.
ResponsibilitiesScheduling and Project Coordination
- Coordinate appointments, inspections, site visits and project schedules
- Schedule field staff, subcontractors and trades based on project requirements
- Confirm appointments and site access with clients, property managers and residents
- Communicate schedule changes promptly to everyone involved
- Help identify scheduling conflicts and work with management to resolve them
- Track upcoming work, outstanding tasks and project deadlines
- Follow up with field staff to confirm job progress and completion
- Maintain accurate calendars and scheduling records
- Help ensure crews have the information, materials and access they need before attending a job site
- Assist with organizing emergency and time-sensitive service requests
Estimating and Construction Administration
- Prepare construction estimates using scopes, photographs, measurements and job-site information
- Complete basic labour, material and quantity takeoffs
- Format quotes, proposals, reports and other project documents
- Request and organize pricing from suppliers and subcontractors
- Follow up with field staff, suppliers and trades for missing information
- Track outstanding estimates and follow up as required
- Attend local job sites when needed to gather photographs, measurements and project details
- Organize project files, photographs, estimating information and job documentation
- Assist with preparing change orders and project-related paperwork
Front Office and Bookkeeping Support
- Answer phones, respond to emails and greet office visitors
- Communicate professionally with clients, property managers, suppliers, trades and field staff
- Assist with invoicing, receipts, accounts payable and accounts receivable
- Complete basic bookkeeping and data-entry tasks
- Maintain organized electronic and paper files
- Assist management with changing priorities and time-sensitive tasks
- Keep confidential company, client and employee information private

- Proficient with Microsoft Word, Excel, email, calendars and general office software
- Valid Class 5 driver’s licence
- Comfortable driving from the Burnaby office to job sites throughout Metro Vancouver and the Fraser Valley when required
Experience That Would Be an Asset
- Construction, restoration, property-management or trades experience
- Scheduling or dispatch experience
- Experience coordinating employees, contractors or service appointments
- Experience preparing estimates, quotations or proposals
- Familiarity with construction materials and terminology
- Bookkeeping, invoicing or QuickBooks experience
- Experience reading plans, inspection reports or scopes of work
- Experience working in a fast-paced office or project-based environment
Construction experience is helpful, but we are willing to train the right person who demonstrates strong initiative, confidence, judgment and an ability to learn quickly.
About the Position
This position is best suited to someone who enjoys variety and does not want to perform the same task all day. Some days will be focused on estimates and paperwork, while others may involve scheduling crews, communicating with clients, completing bookkeeping tasks or visiting a job site to gather information.
The role requires someone who can be approachable and easy to communicate with while still having enough confidence to follow up, get answers and keep people on schedule.
There is an opportunity to develop significant practical experience in construction estimating, scheduling and project administration as your knowledge and abilities grow.
