Sturgeon Public Schools is seeking an Executive Assistant to provide executive-level administrative support to the Deputy Superintendent, Education Services.
This role is central to the success of the Education Services department, providing high-level coordination, project management, and administrative expertise that supports divisional planning, governance, reporting, and student success initiatives. Working closely with senior leadership, school administrators, Trustees, and external partners, you will help ensure the Division's educational priorities are organized, responsive, and delivered with excellence.
What You'll Be Doing

Provide executive-level administrative support to the Deputy Superintendent, Education Services, and the Director of Education Planning

Coordinate meetings, special projects, presentations, divisional events, and departmental initiatives

Prepare professional correspondence, reports, presentations, agendas, and meeting materials

Serve as a liaison between school administrators, Trustees, Central Office departments, Alberta Education, and external stakeholders

Develop and maintain operational school year calendars, class configuration documents, enrolment projections, and school profile information

Support the development and coordination of the Division's Education Plan and Annual Education Results Report (AERR)

Collaborate with the Student Information System (SIS) Support Specialist to compile and validate class size information

Maintain records related to locally developed courses and ensure Board-approved information is accurately tracked and communicated

Track departmental policies and administrative procedures to support governance and compliance

Coordinate the Division's discipline hearing process

Download and manage Diploma Examination and Provincial Achievement Test results, and coordinate the Division scholarship process

Prepare expense claims and provide administrative support for departmental budgeting and reporting

Student achievement data, class size information, enrolment projections, and provincial assessment results are compiled and maintained with accuracy and integrity

Strong, collaborative relationships are built with Trustees, school administrators, Central Office staff, Alberta Education, and external partners

Confidential information is managed with discretion, professionalism, and sound judgment

Multiple priorities are managed proactively while maintaining exceptional quality and customer service

What You Bring

Diploma in Business Administration, Office Administration, or a related field
-
Minimum three years of senior administrative or executive assistant experience

Advanced proficiency with Microsoft Office, Google Workspace, and collaborative online platforms

Exceptional organizational, project coordination, and time management skills

Excellent written and verbal communication skills with strong attention to detail

Ability to exercise discretion and maintain strict confidentiality

Strong analytical, problem-solving, and relationship-building skills

Experience with Student Information Systems and Alberta Education applications is considered an asset

Ability to manage multiple priorities while working independently and collaboratively
