Job Overview
We are seeking a highly organized and proactive Commercial Property Manager / Executive Assistant to support our property management team. This role involves managing administrative tasks, coordinating property operations, and maintaining excellent relationships with tenants and vendors. The ideal candidate will possess strong office experience, excellent communication skills, and familiarity with property management software such as Yardi. This position offers an opportunity to work in a dynamic environment where attention to detail and customer service are paramount.

Duties

Manage day-to-day administrative functions including data entry, filing, and document management
Assist with property leasing activities, including tenant correspondence and lease documentation
Coordinate maintenance requests using CMMS systems and follow up on service completion
Support property inspections and prepare reports for management review
Handle phone inquiries with professional phone etiquette, providing exceptional customer service
Maintain accurate records of rent payments, vendor contacts, and tenant information
Assist in negotiations with vendors and tenants to ensure favorable terms
Schedule appointments, meetings, and property showings for the management team
Develop and maintain positive relationships with tenants, vendors, and stakeholders
Support sales efforts by preparing marketing materials and tracking leads

Skills

Proficiency in Yardi or similar property management software
Strong office experience with data entry, filing, and administrative tasks
Excellent customer service skills with professional phone etiquette
Knowledge of property management operations and CMMS systems
Effective negotiation skills to facilitate vendor agreements and lease terms
Experience in sales or customer relationship management is a plus
Ability to handle multiple priorities efficiently in a fast-paced environment
Strong organizational skills with attention to detail
Ability to communicate clearly both verbally and in writing
Prior experience in office administration or executive support roles is preferred

Pay: $50,000.00 per year

Work Location: In person
