Copernicus Lodge is a not-for-profit, charitable and ethno-specific organization made possible through the efforts of the Polish Canadian community and the vision of Father Michael Smith, OMI. Located in the heart of the Roncesvalles community in the heart of west-end Toronto, we provide a continuum of care in a predominantly Polish, Roman Catholic environment to meet the changing needs of our seniors. The Lodge is comprised of an Adult Day Program, 200 independent, affordable self-care apartments with a Supportive Housing program, and a 228 bed Long Term Care home.
Position Summary
The Associate Director of Operations is a senior leadership position responsible for supporting the Director of Operations in the strategic, operational, and administrative oversight of Copernicus Lodge's Long-Term Care Home, Seniors Housing, Community Programs and Services, and corporate operational initiatives.
The Associate Director serves as the designated backup to the Director of Operations and assumes leadership responsibilities in their absence. The position provides primary operational oversight of the Seniors Housing portfolio, including building operations, tenant services, supportive housing initiatives, and community-based programs, while maintaining direct responsibility for Community Programs and Services, including the Adult Day Program and Assisted Living Program. The role also supports operational oversight of the Long-Term Care Home, quality improvement, performance measurement, accreditation, Ministry compliance, capital projects, and strategic initiatives across the organization.

Key responsibilities include, but are not limited to:
Seniors Housing (Primary Portfolio)
- Provide day-to-day operational leadership of the Seniors Housing portfolio, including independent living apartments.
- Oversee tenant services, occupancy, tenant relations, and housing operations.
- Collaborate with Facilities, Maintenance, Environmental Services, and contractors to ensure safe and efficient operations.
- Support supportive housing initiatives and Ontario Health contractual requirements.
- Manage escalated tenant concerns, operational risks, and emergency preparedness.
- Identify opportunities to improve tenant satisfaction and operational efficiency.
Community Programs and Services
- Provide executive oversight of the Adult Day Program, Assisted Living Program, Community Support Services, and outreach initiatives.
- Lead program planning, quality improvement, staffing oversight, budgeting, Ontario Health reporting, and program evaluation.
- Develop partnerships and identify opportunities for program growth and innovation.
Corporate Operational Leadership
- Support operational oversight of the Long-Term Care Home.
- Act as the Director of Operations' designate during absences.
- Lead organizational projects, accreditation readiness, Ministry inspection preparedness, and quality improvement initiatives.
- Develop and report organizational KPIs, metrics, and executive reports.
- Support capital projects, business continuity, emergency preparedness, and risk management.
Leadership and People Management
- Provide leadership, coaching, mentoring, and performance management.
- Support recruitment, succession planning, employee engagement, and labour relations.
- Promote a culture of accountability, safety, respect, and continuous improvement.
Financial Management
- Assist with departmental budgets and resource planning.
- Monitor expenditures and identify operational efficiencies.
- Support procurement and capital planning.

- Cyber Security / Information Security – adhere to established IT and internet policies
- Complaints and Concerns – follow chain of command related to escalation of concerns
- Effective and efficient use of supplies and equipment to reduce wastage and damage to property

- The position operates across Long-Term Care, Seniors Housing, and Community Programs. Occasional evening, weekend, and on-call responsibilities may be required to support operational needs, emergencies, inspections, or organizational initiatives.
Qualifications:
- Bachelor's degree in Health Administration, Nursing, Business Administration, Public Administration, Gerontology, or related field.
- Current Ontario Long-Term Care Administrator Certificate is required.
- Minimum five years of progressive leadership experience in long-term care, seniors housing, healthcare, or community services.
- Experience with Accreditation Canada, Ministry inspections, quality improvement, KPI reporting, and operational leadership.
- Experience in seniors housing, supportive housing, or property/building operations is a strong asset.
- Strategic leadership and operational management
- Knowledge of the Fixing Long-Term Care Act, 2021 and applicable regulations
- Knowledge of Ontario Health funded community programs
- Quality improvement, risk management, and accreditation
- Project management and change leadership
- Excellent communication, analytical, and relationship-building skills

The Associate Director of Operations is accountable for supporting operational excellence across Copernicus Lodge by ensuring high-quality resident, tenant, and client services, regulatory compliance, financial stewardship, quality improvement, and strategic leadership while serving as the Director of Operations' designate.
