Job Summary
We are seeking a dedicated and organized Office Administrator to join our team. The ideal candidate will be responsible for managing office operations, providing exceptional customer support, and ensuring the smooth functioning of administrative tasks. This role requires strong communication skills, proficiency in office software, and a commitment to maintaining a professional environment.

Responsibilities

Serve as the first point of contact for clients and visitors at the front desk, providing excellent customer support.
Manage phone systems to handle incoming calls, direct inquiries, and relay messages efficiently.
Maintain organized filing systems for both electronic and paper documents to ensure easy retrieval of information.
Assist with administrative tasks such as typing correspondence, scheduling appointments, and managing calendars.
Support the legal office team by coordinating client records and ensuring compliance with confidentiality regulations.
Collaborate with other staff members to streamline office processes and improve overall efficiency.
Handle correspondence and communication with clients, vendors, and other stakeholders in a professional manner.

Requirements

Previous experience in an administrative role, preferably within a legal office
Proficiency in using computer systems and office software (e.g., Microsoft Office Suite).
Strong organizational skills with the ability to manage multiple tasks simultaneously.
Excellent communication skills, both verbal and written, to interact effectively with clients and team members.
Familiarity with phone systems and front desk operations is highly desirable.
Ability to maintain confidentiality and handle sensitive information appropriately.
A proactive attitude with a willingness to learn and adapt in a dynamic work environment.
