We are seeking an organized, detail-oriented, and team-focused Administrative Assistant to join our team. In this role, you will provide essential administrative support that helps ensure the smooth and efficient operation of daily activities across the Sport Division. Primary Duties and Responsibilities
1. Meeting Management and Administration
- Schedule and coordinate meetings, including booking meeting rooms, sending invitations, and preparing agendas, meeting package preparation and any other relevant documents.
- Attend meetings and record accurate minutes, capturing key discussion points and action items.
- Follow up on action items to ensure timely completion.
- Support Annual General Meeting (AGM) preparation.
- Coordinate reporting for a variety of programs and initiatives for Sask Sport/Sask Lotteries.
- Maintain manual and electronic filing making suggestions for improvements and implementing them.
- Proof reading and editing a variety of correspondence to Sask Sport’s identity standards.
- Monitoring administrative processes and proposing and implementing changes to improve efficiency.
- Managing incoming and outgoing correspondence (referrals, inquiries, etc.) ensuring proper distribution.
- Minor research and help with projects.
- Working with others to collaborate across divisions on various administrative tasks and projects.
2. Logistics and Data Management
- Maintain databases, inputting information and ensuring accuracy of information.
- Reviewing information submitted by external sources before distributing it to the appropriate staff member.
- Connect with members for follow up on missing information.
- Coding and submitting invoices following Sask Sport guidelines and policy.
- Managing events and meeting needs such as venues, food, and other logistics.
3. Reception Support
- Greet public, answer phones, contact building personnel, mail deliveries and sorting.
- Other duties or responsibilities as assigned by supervisor.
Knowledge, Skills and Abilities
Demonstrated skills in the following areas:
- Strong administration, organizational, and time management skills with attention to detail.
- Effective written and verbal communication skills.
- Proficiency in Microsoft Office suite (Word, Excel, Outlook, Teams), Zoom and Adobe.
Demonstrated abilities in the following areas:
- Self-motivated, proactive and enthusiastic.
- Skilled in managing diverse responsibilities and balancing multiple priorities effectively.
- Capable of working independently while also thriving in collaborative team environments.
- Strong analytical and problem-solving abilities including identifying challenges and recommending improvements.o Applies sound judgment and initiative to streamline workflows.
Qualifications and Experience
- Administration Certificate or Diploma, or similar education and/or training; and two-four years' experience in an administrative role that demonstrates the ability to perform the duties required for this position.
- Knowledge of the provincial sport delivery system is an asset.
- Experience in the non-profit sector is an asset.
Working Conditions
- Full time (37.5 hours/week).
- Overtime work may be necessary due to meeting support from time to time.
- Office environment.
- Salary and benefits commensurate with experience.
