Job brief:
We seek a highly skilled and experienced Senior Financial Coordinator to join our team. The successful candidate will oversee financial operations, analyze financial data, and ensure compliance with financial regulations. This role requires strong analytical skills, attention to detail, and collaboration with various departments. You will report to the President and the Owner.
This role is essential to maintaining the organization’s financial health while supporting its growth objectives.
Responsibilities:
Daily
- Enter received bills and pay by the due date
- Match and resolve all QBO transactions.
- Check P+L, Balance Sheet, AP/AR for discrepancies
- Process Credit Card payments
- Manage and create inventory in the “SOS Inventory” program
- Issue and receive purchase orders and convert/receive into inventory
- Process orders received, send out invoices and sales orders to clients with terms
- Review margins on all orders with the President
Weekly
- Run payroll by due date
- Send reminder emails for outstanding Sales orders
- File any bills processed
- Review open purchase orders and confirm correct entry
- Reconcile PayPal and Shopify
- Follow up on outstanding receivables past due
- Inventory forecasting and purchasing
Monthly
- Financial meeting to review the previous month’s P&L, receivables, and margins
- File HST/GST
- Reconcile all bank and credit card accounts
- Pay source deductions for payroll
- Pay WSIB (quarterly)
- Pay the monthly portion of corporate tax
- Pay commission
- Print the credit card statement, attach receipts for the month, and file for the President to review and approve
Yearly
- Provide any documents requested by the accountants for the year-end
- Reconcile and make any adjustments needed to the inventory
- Process T4’s and follow the proper procedures for distributing
- Handle any Stats Canada inquiries
Requirements:
- Education: A Degree in Finance or a related field is preferred.
- Experience: Minimum of 10 years of experience in financial management or a similar role.
Skills:
- Strong analytical and problem-solving capabilities.
- Excellent communication and interpersonal skills.
- Proficiency in financial software (QBO) and Microsoft Office Suite.
- Proficiency or experience with Converge, SOS Inventory, Engage Bay, or Shopify is ideal
- Ability to manage multiple projects and meet deadlines.
- Attention to detail and accuracy in financial reporting.
- Willingness to take full ownership of the role. A proactive attitude rather than a reactive one.
Location, Commitments & Benefits:
- The permanent full-time position is at our company headquarters in Mississauga, ON (no remote)
- Schedule: Monday to Friday, 9 A.M. to 5 P.M.

- Salary: $65,000 to start. Reviewed after a three-month probationary period.
