Executive Assistant to the CEO

About the Role
We are seeking a highly organized, energetic, and personable Executive Assistant to support our CEO in a fast-paced and dynamic business environment. This is more than a traditional administrative role—you will be the CEO's trusted right hand, helping manage daily operations, coordinating meetings, and representing the company with professionalism at client events and industry functions.
The ideal candidate is confident, outgoing, and thrives in environments where no two days are the same. You must be comfortable interacting with executives, clients, and business partners while maintaining the highest level of professionalism and discretion.
Key Responsibilities
- Manage the CEO's calendar, appointments, and daily schedule.
- Coordinate meetings, travel arrangements, and business itineraries.
- Accompany the CEO to meetings with key clients, business partners, networking events, conferences, lunches, and dinners.
- Prepare meeting materials, take notes when required, and ensure follow-up items are completed.
- Act as a professional point of contact between the CEO and clients, stakeholders, and business associates.
- Organize corporate events and assist with conference planning and attendance.
- Handle confidential information with complete discretion.
- Assist with correspondence, presentations, reports, and other executive-level administrative tasks.
- Anticipate the CEO's needs and proactively resolve scheduling or logistical issues.
Qualifications
- Previous experience as an Executive Assistant, Personal Assistant, or in a similar executive support role.
- Exceptional organizational and time management skills.
- Outstanding verbal and written communication skills in English.
- Friendly, confident, and outgoing personality with excellent interpersonal skills.
- Ability to build strong professional relationships with clients and executives.
- Strong attention to detail and ability to multitask under pressure.
- High level of professionalism, discretion, and confidentiality.
- Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint) and common business software.
- Valid driver's license and reliable transportation are considered an asset.
Work Schedule
This position requires flexibility. The CEO frequently attends meetings, networking events, conferences, business lunches, and evening dinners.
The successful candidate must be willing to:
- Travel locally with the CEO as required.
- Work occasional late evenings.
- Be available on Saturdays when business events or meetings are scheduled.
Additional hours worked outside of regular business hours will be compensated in accordance with company policy.

Work Location: In person
