Reporting directly to the Senior Operating Officer (SOO), Psychiatry and Mental Healthcare – Inpatient, the Executive Assistant (EA) is an advanced position that supports the SOO and is responsible for carrying out program issues management and coordination to support the SOO, while providing overarching coordination and support to the executive office of the SOO and the Psychiatry and Mental Healthcare – Inpatient team. The EA acts as a conduit and liaison between the Executive Leadership Team, Executive Portfolio Team, and all other departments, divisions, and government portfolios by working closely with executive leaders and respective administrative staff, corporate staff and executive administrative staff. Working with minimal guidance the position is responsible for working on short and long-term assignments including grant administration, quality improvement/assurance, legal, performance monitoring and a variety of program issues. The EA identifies support requirements and provides executive coordination which includes recommendations to leadership and taking independent action.
The EA oversees administrative tasks (such as calendar management, preparing materials, meeting preparations and support), information management, communication, and program issues to provide high level and comprehensive administrative functions for the SOO. In addition, the EA works with the SOO’s direct reports and their respective administrative staff to support on-going needs. The EA navigates Recovery Alberta’s administrative systems and processes to coordinate assignments and action requests, effectively organizing, planning, and prioritizing work across multiple complex areas within the portfolio. In this role, they serve as an informal resource for colleagues, may direct work on behalf of the Senior Operating Officer (SOO) and leadership team, and provide guidance on complex requirements. They support the SOO with ongoing budget monitoring and forecasting, while also designing operational processes that enhance portfolio reporting, team organization, project management, and information management activities. Additionally, the EA investigates issues, develops recommendations, and takes action to advance portfolio initiatives, including coordinating, preparing, compiling, and summarizing background information and supporting report development and completion.

Required Qualifications:
A minimum of a high school completion with four years of progressively responsible related experience is required. The incumbent will demonstrate a clear pattern of professional and personal development.
Additional Required Qualifications:
This role requires a strong working knowledge of Recovery Alberta systems and processes, as well as general office policies and procedures, including financial policies, Freedom of Information and Protection of Privacy (FOIP) legislation, human resource systems, and expense claim processes. The individual demonstrates advanced proficiency in Microsoft Office applications, including Outlook, Excel, Word, and PowerPoint, and has experience using the Resource Management System for recruitment activities, performance reporting, and budget accountability. Additional expertise includes the use of e-People, SharePoint, Markview, and iExpense. Success in this role is supported by a proven ability to build and maintain effective partnerships, foster collaboration, and achieve organizational objectives within a large and diverse environment while establishing strong relationships with public agencies, government partners, committees, and other stakeholders. Preferred Qualifications:
