Legal Administrative Assistant — Flexible Hours Available

We are a growing immigration and citizenship law firm looking for an experienced Legal Administrative Assistant to join our team. This role is ideal for someone who already understands how a law office works, is familiar with Clio, and wants a stable, respectful workplace with flexibility, benefits, and room to contribute meaningfully.

Our firm assists clients with a wide range of Canadian immigration and citizenship matters, including permanent residence, work permits, family-based applications, proof of citizenship, citizenship by descent, complex status issues, and citizenship-related files involving recent changes under Bill C-3.

Our principal lawyer, Amandeep Hayer, has been actively involved in citizenship law reform and advocacy, including work connected to Bill C-3 and issues affecting “Lost Canadians,” citizenship by descent, and families impacted by Canada’s first-generation limit. This means our team is not only working on day-to-day immigration files, but also supporting legal work connected to an evolving and important area of Canadian citizenship law.

About the Role

You will support the firm’s lawyers, articling student, and office manager with day-to-day legal administration, client communication, file management, document preparation, and application support. The ideal candidate will be organized, reliable, detail-oriented, and comfortable working within a regulated professional environment.

Experience in a Canadian law office is strongly preferred. Familiarity with immigration or citizenship law is an asset, but not required.

Responsibilities

Open, organize, and maintain client files in Clio
Assist with immigration and citizenship files, including proof of citizenship, citizenship by descent, permanent residence, work permit, and related applications
Support citizenship-related files involving document collection, family history, timelines, prior citizenship status, and records needed for legal review
Help prepare application packages and supporting documents for review by the legal team
Assist with document preparation, proofreading, scanning, uploading, and filing
Help manage deadlines, follow-ups, appointments, reminders, and lawyer calendars
Communicate professionally with clients by phone and email
Support client intake, consultation preparation, and file updates
Maintain organized digital records and ensure documents are saved correctly
Assist with billing, payment tracking, and basic administrative bookkeeping through Clio
Prepare correspondence and client-facing documents
Support the office manager and legal team with daily workflow
Help ensure client information is handled confidentially and in accordance with law office obligations
Follow office procedures and understand the importance of compliance with Law Society of British Columbia expectations, including confidentiality, professionalism, and proper file handling

Requirements

Prior experience in a law office or legal administrative role
Experience using Clio or similar legal practice management software
Strong understanding of legal office procedures, file management, deadlines, and confidentiality
Familiarity with LSBC professional expectations and the importance of client confidentiality
Strong written and verbal communication skills
Excellent attention to detail and proofreading ability
Comfortable using Microsoft Office, Outlook, PDF tools, and cloud-based file systems
Ability to manage multiple files and tasks without losing track of details
Professional phone and email etiquette
Reliable, organized, and able to work independently once trained
Immigration law or citizenship law experience is an asset, but not required
Experience with citizenship, proof of citizenship, or status-related files is a strong asset
